Position Information

This is a full-time management (MPP) position. MPP employees serve at the pleasure of the campus President. MPPs do not serve a probationary period and never receive permanent status.

This position is a "designated position" in the California State University's Conflict of Interest Code. The successful candidate accepting this position is required to file Conflict of Interest forms subject to the regulations of the Fair Political Practices Commission.

Major Duties

Under the general direction of the Director of Advancement Services, the Associate Director of Advancement Services will manage a team and will work collaboratively with the entire University Advancement division to help drive institutional fundraising and engagement goals and to position front-line colleagues (fundraisers, alumni officers, etc.) for success in relationships with donors, potential donors, volunteers, and other supporters. The position will work closely with the Director to facilitate fundraising, gift processing, constituent tracking, relationship management, fund management, and stewardship, provide the essential infrastructure of the Advancement Services enterprise. The Associate Director is a critical player in effectively managing and growing utilization of the CRM (Blackbaud Raiser's Edge NXT) as well as building integrations and automation of data process flows between CRM and other University Advancement and University enterprise systems.

Understand, explain, and apply all regulations and guidelines governing fundraising, gift processing and gift accounting (IRS, CASE, FASB/GASB, etc.). Stay current with trends in philanthropy and with the best practices technical developments applicable to the profession. Communicate and lead in applying these developments. Minimize risks that management incurs by accurately recording and reporting fundraising information and by securely managing sensitive data.

Qualifications

Required Education: Bachelor's degree from an accredited college or university.

Required Experience:

- 2-5 years of experience in Advancement Services or database management/administration in a university or non-profit organization environment
- Experience in leading a team and employees supervision
- Prior experience in Raiser's Edge, Raiser's Edge NXT, or other relational database software
- Experience with data integration and secure data transfer across different systems;

Required Knowledge, Skills, and Abilities:

-Ability to lead and manage staff at a high level, direct projects and operations, inspire and train
- Knowledge of Advancement industry best practices and reporting standards; understands the business goals of University Advancement program areas to design smart and supportable data structures for facilitating business and measuring program effectiveness
- Thorough knowledge of accounting principles and financial reporting and the ability to understand CASE Reporting Standards, FASB, IRS Regulations, and other governing policies and procedures relating to the processing of charitable gifts
- Knowledge of higher education advancement compliance regulations and reporting standards
- In-depth knowledge of and proven ability to utilize SQLfor data retrieval and manipulation;
- Ability to interpret and evaluate policies and procedures and analyze data
- Analytical thinking skills with strong problem solving skills
- Strong attention to detail and accuracy
- Ability to create custom reports using software tools such as Crystal Reports, SQL Developer, PL/SQL, and others for data retrieval, manipulation, and reports
- Strong interpersonal skills - ability to work well with others and optimize partnerships with software vendors and cross-campus partners such as the Office of Information Technology, Finance, Institutional Research, and the Registrar
- Demonstrated ability to meet deadlines and prioritize simultaneous requests
- Excellent verbal and written communication skills

Preferred Qualifications:

- 4-7 years of experience in Advancement Services or database management/administration in a university or non-profit organization environment
- Experience in establishing and maintaining complex business rules and data integrity;
- Experience working with SQL programming, fundraising CRM and its reporting options, and familiar with HTML
- Experience working with data at the micro and macro levels with advanced analytical skills

Certification: Valid Drivers License

Responsibilities

40% - Direct and administer the day-to-day operations of the Advancement Services Office

Review and/or create manual procedures within Advancement Services and the broader University Advancement team. Identify opportunities to streamline, automate, oversee the account creation and security rights for users of the CRM database. Delegate tasks and supervise Advancement Services staff employees.

Participates with the Director to establish, implement and enforce policies and procedures. Oversee the execution of business procedures for the Advancement Services Office which include: general oversight and compliance with government regulations and reporting standards for the Council for Advancement and Support of Education (CASE) standards and Voluntary Support of Education (VSE), and the Chancellor's Office (CO). Participates as part of a team to establish policies and procedures in regard to gift acceptance functions in University Advancement, including the recording and receipting of donors, policies and compliance reports to the Vice President, Associate Vice President, and the Chancellor's Office.

Manage the overall performance of the team and provide thorough evaluations and provide leadership, training and guidance.

35% - Data Quality, Integration, Reporting, Technical Support, and Management

Create and execute queries to run reports and other data analysis and information needs for the Development team and the division. Create dashboards and provide reports for internal and external use. Identify and implement ways to optimize users' access and understanding of key data to inform business decisions and promote information self-sufficiency. Develop and maintain documentation for recording report procedures and programs. Collaborate with the Researcher to develop and maintain systems in the database for the purposes of prospect management and donor tracking. Create and maintain university's online donation pages; provide expertise, advise and technical services to support fundraising activities (i.e. phonathons, text-to-give, email, direct mail).

Monitor the use of Raiser's Edge NXT database and web application, and oversee all data entries/retrievals/imports and exports; implement procedures for data management and stewardship; ensure accuracy, completeness, and timeliness of information maintained on alumni, donors, prospects, students, parents, employees and friends in support of University Advancement initiatives; identify information (data sources, target populations, and/or new constituencies) to be enhanced, refreshed, corrected, or established; protect the integrity, authenticity, and security of data; manage access to alumni and donor information, safeguarding the confidentiality of sensitive data, ensure that secure measures are in place for the sharing and file transfer of data; provide feedback on the impact of system issues or improvements for data quality and delivery, and bring corrective strategies and recommendations to the Director and other colleagues for project approval and development.

10% - Collaborate with the Finance Team at Foundation Auxiliary to assure financial compliance at all levels, including assisting with Philanthropic Foundation audits and other financial related tasks, when appropriate.

10% - Validates work with outside vendors and internal groups to keep the database clean and accurate; oversee accuracy and efficiency of reports created; monitor the establishment of gift accounts including recording of gifts and restrictions on accounts, provide oversight of pledge and acknowledgment processing activities.

5% - Perform other related duties as assigned.
