The College of Lake County is excited to announce a new opportunity to become part of our team as a Senior Administrative Assistant for the Advanced Technology Center, located in Gurnee, IL.

Under the supervision of the Director, Advanced Technology Center, this person provides standrad and advanced clerical support and assists with day-to-day operations of the center staff, welcomes visitors (including students, faculty, community members) and is the direct administrative support to the Director, Advanced Technology Center.

Collaborative skills, which cultivate internal and external partnerships that achieve excellence in student success outcomes, community engagement, and a highly engaged team-based culture are paramount in this role. This position requires in-depth knowledge of departmental procedure and good judgment in regard to handling a variety of situations with students, faculty and staff. The Administrative Assistant must maintain the highest standards of customer service and will be responsible for making appointments, answering phone calls, and completing other special projects as needed.

Additionally, the successful incumbent will work with the staff regarding budgeting, submitting purchasing requisitions, and following up on finance maters for consumables in the Center. The Administrative Assistant will be responsible for monitoring and replenishing office supplies.

Required Qualification
  • Associates degree & minimum of two years of recent experience administrative support or related experience OR High school diploma & minimum of four years of recent experience administrative support or related experience

  • Strong keyboarding and computer skills.

Student /Customer Services- 30%
  1. Receive visitors, answer telephones, review inquiries, provide advice, and positively represent the College and the Advanced Technology Center ( ATC ) to students, faculty, administrators and the community. Responds to basic questions and routes referrals appropriately.
  2. Promotes and advances a welcoming and safe environment at the ATC and the college.


Department Operations and Projects – 50%
  1. Maintain outlook calendars, coordinate meetings and appointments, schedule conference rooms and training rooms, and assist with business travel arrangements.
  2. Serves and responds to ATC students, visitors, and personnel for ATC information, directions, and ATC issues requiring attention.
  3. Assist in scheduling, coordination, preparation, and hosting of activities and events at the ATC as needed. Assists in providing ATC tours when needed.
  4. Responds to emergency situations adequately either on their own or by contacting supervisory personnel and/or the CLC Police Department.
  5. Supports the ATC Director in their duties, as well as other operational duties as directed.
  6. Use discretion and knowledge of college and departmental policies and procedures throughout duties.
  7. Supervise activities, and task management of student workers.
  8. Manages and responds to inquiries through the ATC email accounts.
  9. Performs other related duties as assigned.

  10. Responds to emergency situations by contacting supervisory personnel and/or the CLC Police Department.
  11. Tracks and maintains instructional and office supplies inventory.

Center and Department Procurement- 15%
  1. Performs procurement and purchasing activities related to the ATC, in particular consumables and small supplies.
  2. Conduct ATC office and program purchasing.
  3. Monitors and manages ATC budgets as directed.
  4. Reconciles dept. cardholder procurement account statements and travel expense reports to meet college processing deadlines and assists in keeping expense account budgets in balance.
