The Financial Aid Specialist will Advise and counsel students and parents on financial aid, coordinate new student aid applications and documents, and provide back up and assistance to two other Senior Secretary positions. They will maintain several office data bases, and be the primary support secretary for the director, along with having general secretarial functions. This position has been evaluated for compliance with the Fair Labor Standards Act and is subject to premium pay for all hours worked in excess of 40 in a payroll week.
Requirements:
- H.S. Diploma and some formal post high school education experience. Applicable Associate Degree or Secretarial Certificate preferred or an appropriate combination of college courses.
- Minimum two years work experience in an appropriate setting.
- Above average verbal and written communication skills.
- Working knowledge of Microsoft Office Suite, Excel, and Access.
- Must demonstrate and have good analytical and decision-making skills.
- Ability to work in high volume technical setting with constant interruption.
Counseling Students and Parents
- Position has significant telephone and in person contact with students, parents, and other University departments. Position requires an extensive knowledge of financial aid programs and procedures as well as a firm understanding of many other University areas including academic, billing, admission, and residence life policies and procedures.
- Student Financial Aid Award Notices.
- Performs final review for quality control for award letters. This review involves checking name and address; confirming correct cover letter according to aid package type; verifying that award sources and amounts are accurate; insures the aid package is not an over award.
- Prepares any necessary, special, or specific correspondence to be involved with the financial aid evaluation. This may be an individually specified "form letter" or original correspondence.
- Coordinate all incoming financial aid applications and documents for freshman, transfer, and new graduate students.
- Initiates appropriate follow-up requests to students and parents for information needed to complete the financial aid application process.
- Identifies accepted students with complete applications and prepares file for professional review.
- Research and resolve applicant information problems among the financial aid system, admissions system, and the U.S. Department of Education's system.
- Responsible for updating, inventory and maintaining an adequate supply of the following office forms: Verification Statements, Documentation Sheets, Loan promissory notes, loan documents, Award Letter information Sheets, etc.
- Responsible for coordinating all activity to secure valid promissory notes and related loan documents for the Alumni Loan Programs.
- Includes: printing the notes and loan documents; organizing and supervising mailing, tracking students, follow-up with students for missing and incomplete forms, authorizing disbursement of funds, and reconciles loan accounts and problem resolution with the AU Loan Servicing office.
- Responsible for hiring of office work-study students, and appropriate functions. Maintains task list and assigns duties as appropriate.

- Relating to required paperwork for employment; i.e. Form I-9, W-4 form, timesheet procedures, etc.
- Back up support for other Financial Aid Specialist.
- Maintains a safe working environment within and around their facilities and associated equipment and supplies including, but not limited to, obtaining Safety Data Sheet (SDS) information pertaining to any hazards associated with their work environment.
- Safety: Participate in safety training and comply with safety rules, regulations, and protocols.
- Perform additional duties and assist with special projects as assigned.
