Job Summary:
The Administrative Assistant & Gallery Preparator, Alabama Center for the Arts is responsible for assisting the Alabama Center for the Arts Chief Operating Officer (COO) and the Executive Director for External Affairs (EDEA) in day-to-day operations of the Alabama Center for the Arts to help ensure that facilities are maintained safely and that activities are scheduled appropriately and provide administrative support services with both internal and external initiatives. The Administrative Assistant, Alabama Center for the Arts position will be charged with assisting the ACA Foundation with receiving donations, logging donations and communicating with donors who make donations and pledges on behalf of the ACA joint foundation. The Gallery Preparator, Alabama Center for the Arts responsibilities include managing the installation and deinstallation of art exhibits displayed in the galleries of the Alabama Center for the Arts in addition to organization and maintenance of gallery storage.

ESSENTIAL FUNCTIONS:
  • Aids the COO of Alabama Center for the Arts and EDEA in planning, organizing and overseeing the Center's activities in a manner consistent with objectives of both Athens State University and Calhoun College.
  • Assists with administrative support activities for the COO and EDEA to include use of specific software for data processing, document preparation, etc.
  • Coordinate monthly reports and accumulate data as requested by the COO and the EDEA.
  • Displays a high level of effort and commitment to performing work; operates effectively within the organizational structure; demonstrated trustworthiness and responsible behavior.
  • Works with the COO and the Offices of Financial and Academic Affairs at Calhoun Community College and Athens State University in the scheduling and use of Center facilities.
  • Assists COO and EDEA in preparation of routine correspondence including letters, memoranda, and reports.
  • Performs support functions for the ACA joint Foundation 501©(3) as described above.
  • Gallery responsibilities include managing the installation and deinstallation f art exhibits displayed in the galleries of the Alabama Center for the Arts and gallery storage.
  • Manages the Alabama Center for the Arts Box Office including training ticket agents, event staffing scheduling, selling/collecting/scanning tickets, operating credit card and/or cash ticket sales, reporting, directing/ushering if needed, etc. for ACA's Performing Arts events.
  • Assists the COO reporting and overseeing the emergency repairs and ensuring that security is scheduled for evening and weekend events and classes.
  • Assists with purchasing as needed.
  • Demonstrates flexibility and adaptability to changing work scope and tasks based on need.
  • Actively works towards building cooperative and collaborative relationships with peers and internal faculty and staff and assists with educational productions, projects, camps, tours, etc.
  • Maintains “open door” to internal and external customers.
  • Proactively engages in problem solving related to tasks in this position with internal and external people.
  • Routinely practices self-monitoring by assessing self to make improvements or take corrective action to improve performance.
  • Completes other tasks as assigned.


Required Qualifications:
REQUIRED EDUCATION, EXPERIENCE, STANDARDS, AND TRAINING:• Bachelor’s Degree required.• Familiarity with various computer applications (Microsoft Word/Excel, etc.) required.• Clerical experience with using copiers, printers, scanner, etc.• Experience with Graphic Design, Digital Photography, Adobe Photoshop, and Illustrator a plus.

OTHER QUALIFICATIONS AND JOB REQUIREMENTS: • Excellent interpersonal skills required.• Ability to work independently with shifting priorities and complex tasks.• Ability to recognize quality issues within deadline parameters.• Ability to maintain confidentiality of office information.• Ability to create and maintain mailing databases.• Ability to communicate effectively with varied constituents.
