The Associate Director of Admission reports to the Director of Admissions and serves as the second-in-charge for the Undergraduate Admissions Office providing direct oversight of recruitment of Transfer and First Year students, including but not limited to, supervising the Assistant Directors for the Recruitment Team, overseeing additional admissions teams related to recruitment, and developing and executing recruitment strategies. Responsible for assisting in the management of the overall Admissions operations and recruitment and outreach efforts for UW Bothell to ensure enrollment goals are successfully met. These efforts include developing recruitment strategies, creating partnerships with key constituencies both internal and external to the University, and meeting the priorities of the overall strategic plan.

RESPONSIBILITIES:

Supervision and Development of Staff

Oversee the Recruitment Team and supervise the Assistant Directors for Transfer and First Year Recruitment. Additionally oversee one or more of the following teams as assigned: Marketing Communications, Welcome Desk, Operations, and CRM Technology, and directly supervise the Assistant Directors or Managers for these teams. Oversight includes hiring, training, providing leadership, support, motivation, assignment of responsibilities, professional development, and staff recognition. Serve as interim supervisor for team members in the absence of Assistant Directors or Managers.

Leadership and Planning

Develop and manage strategic recruitment plans that are designed to reach admissions and enrollment goals by applying best practices associated with recruiting first year and transfer students, ensuring inclusion of prospective students from groups who are traditionally underrepresented on the campus. Collaborate closely with academic programs in developing strategies to balance admission of both internal and external applicants to maintain appropriate enrollments. In collaboration with the Director of Admissions, develop an annual budget for recruitment and admission activities.

Admissions Teams Collaboration

Collaborate with the Marketing & Communications Team and other constituents such as University Marketing Communications and Academic Schools, in the design and development of materials – print, electronic, posters, give-aways, brochures, and other media – for communication and promotion of opportunities for admission and transfer to UW Bothell. Assist to ensure print and electronic media communicates the mission, vision, and requirements of each Academic School. Provide guidance in development of annual marketing and communication plans for the recruitment of first year and transfer students from high schools and community colleges locally and throughout the state of Washington. Assist in the planning of events associated with recruitment and information for new and prospective students such as Campus Preview Days, Admitted Student Days, college information fairs, individual appointments, and group sessions. Assist the Recruitment Team and Welcome Desk with requests about application, admissions processes and enrollment requirements from prospective and current applicants. Serve as backup in absence of Welcome Desk staff. Serve as backup Advisor on Duty in absence of recruitment staff.

Data Collection and Distribution

Provide leadership to leverage the Admissions CRM (currently Slate) to systematically collect, analyze, and use data on market, prospects, applicants, admitted students, and enrolled students in order to target resources effectively, and constantly improve recruitment strategies. Provide leadership that enables staff to effectively use data systems to inform recruitment activities. Evaluate and review confidential data and make recommendations to schools and the administration. Develop, design and generate statistical reports to meet UW Bothell needs. Monitor goals and progress to ensure recruitment outcome goals are met and to ensure compliance with all state and federal regulations. Provide regular data and consultation to academic schools regarding the effectiveness of program-level recruitment and admissions activities. Provide assistance to academic schools in ensuring access to and use of data on prospects, applicants and admitted students in order to help target resources and develop strategies for improved recruitment and retention.

Advising for Prospective Students

Manage a small recruitment territory and academic program assignment and represent UW Bothell Admissions at local and regional recruiting events. Serve as a resource regarding policies and requirements for admissions and enrollment.

Ensure effective use of the full range of electronic, social media, print, event, and personal contacts in order to communicate with prospective students and applicants. Support sustained positive relationships with high school counselors, principals, and other partners. Support positive and collaborative relationships with advisors and administrators in regional community colleges who share information with their students about transfer opportunities.

Other Duties as Assigned

Perform other duties as assigned by the Director of Admissions. Attend industry conferences for professional associations such as National Association for College Admissions Counseling and Pacific Northwest Association for College Admissions Counseling. Participate on task forces and university committees as assigned.

MINIMUM REQUIREMENTS:

• Bachelor’s Degree in Business, Communications, Education, Psychology, Sciences, or other related field.
• At least 5 years’ progressively responsible experience working in an academic or professional educational program.

Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.

ADDITIONAL REQUIREMENTS:

• Documented success in planning, implementing, and evaluating college admissions recruiting programs for first year and transfer students
• Strong organizational management skills
• Successful experience providing effective staff supervision and performance management, creating a positive working environment which emphasizes professional development.
• Demonstrated skill in communicating effectively with a diverse set of applicants and their families through publications, in-person events, written communications, and with web-supported materials.
• Excellent critical thinking skills and ability to analyze data as part of planning and process evaluation and improvement.
• Experience with social media communication in a professional setting.
• Experience in working effectively with diverse populations.
• Experience using CRMs.

DESIRED:

• Masters degree plus four years experience in an academic setting with emphasis on admissions, advising, and student-related services.
• Slate CRM experience

WORKING CONDITIONS:

Office setting with some night and weekends; some in-state and out of state travel using state vehicle; ability to lift/move 30+ pounds of recruitment materials.
