Position Summary: The Grants Manager serves as the primary resource in writing and editing letters of inquiry, formal proposals and reports for submission to corporate and private foundations as well as governmental funding agencies. The Grants Manager also researches grant opportunities and supports program directors and the Business Office with grants management.

An essential member of the Alumnae & Donor Relations Team, the Grants Manager works collaboratively with Alumnae & Donor Relations staff, with University faculty/staff, the University's Business Office, and with other University administration to strategize and conceptualize all grant-seeking opportunities, submit grant applications, manage existing grants, and participate in the stewardship of grant donors.

Primary Responsibilities:

  • Responsible for some of the research of grant-making organizations and opportunities through private foundations, corporations, and governmental funding agencies. Analyze grant opportunities as to alignment with University priorities, and participate in strategy development for funder engagement. The Grants Manager provides proactive research and leads through the use of such resources as the Funding Information Center at Marquette University and Guidestar.
  • Work with faculty and staff to initiate the grant-seeking process for their program/project and gain necessary approvals to allocate University resources to the effort.
  • Research, write and edit grant proposals, applications and attachments for submission to private foundations, corporations and governmental funding agencies, as well as understand the application process and specific requirements for each grant opportunity. Prepare appropriate accompanying letters and supporting documentation, and work with the Business Office and program directors to develop or review budgets to accompany proposals and funding requests.
  • When a grant is awarded, work with program directors, the Business Office and other University personnel as necessary to establish appropriate grants management practices. Either write or edit all reports, and partner with the Business Office and program directors to develop report budgets.
  • Maintain an in-depth knowledge of each governmental funding agency's application requirements and online systems. Act as the primary contact for federal grant application submissions in cooperation with program PI's and Co-PI's.
  • Have an understanding of private foundations and corporations to partner with the Executive Director - Women's Leadership Institute & Corporate Relations in stewarding and cultivating relationships with these grant-making organizations as necessary (i.e. coordinating site visits, answering questions, supplying additional materials, and developing strategies).
  • Track all funded, declined, pending, and upcoming proposals on a reporting grid and maintain historical records for current, past, and potential grant-making organizations through the donor database.
  • Collaborate with the Executive Director - Leadership Institute & Corporate Relations in the development of an annual plan for funding opportunities and department goals.
  • Participate in monthly meetings with Deans, the Vice President of Student Affairs, and the Vice President of Academic Affairs to discuss possible grant opportunities.
  • Develop and deliver grant-related educational presentations to University personnel in cooperation with the Executive Director - Leadership Institute & Corporate Relations Provide the entire Development Team with a monthly report that includes University statistics, data points, proposals, and general information gathered through various grant applications that would be beneficial to donor relations.
  • Coordinate the bi-annual Corporate & Foundation Relations e-newsletter sent to corporate and foundation partners and prospects.
  • Develop research profiles for individuals as needed by the President and members of the Alumnae & Donor Relations Team.
  • Represent the Alumnae & Donor Relations Team by participation in university events and activities, alumnae association events, community events, etc.
  • Perform other duties, responsibilities, or special projects as assigned

Skills and Experience:

  • Bachelor's degree
  • Excellent oral, written, and interpersonal communication skills, including the ability to work with diverse groups and facilitate group processes
  • Demonstrated success in grant writing, for both private/corporate foundations and governmental funding agencies
  • Proficiency with Word and Excel
  • Proficiency in preparing budgets/financials to accompany funding requests and reports
  • Exceptional ability to multitask, prioritize projects and manage time effectively
  • Strong organization and analytic thinking skills with attention to detail
  • Prospect research experience, as well as supporting data collection and analysis required
  • Experience in federal grants management and compliance required
  • Ability to work as part of a team as well as independently
  • Strong working knowledge and understanding of established professional codes of ethics and best practices for grants management
  • Experience and understanding of current issues and developments in higher education, as well as evidence-based research and high impact practices, preferred
  • Experience with Raiser's Edge or similar online donor database preferred
