The Administrative Operations Specialist will manage the office’s day-to-day complex financial, administrative and office operations.   They will work with team members to help create and execute schedules, manage budgets, greet and communicate with staff and guests, and maintain an effective workflow in the office. The administrative specialist may also take on many other duties regularly associated with office management, including filing, creating memos and reports, and performing other clerical duties.   The Administrative Operations Specialist will also be responsible for the inventory of supplies and preparing event supplies/materials. They will maintain and monitor the accounting and billing systems. The position supports the financial health of the department in close collaboration with Procurement and Accounts Payable.   The Administrative Operations Specialist acts as a liaison with internal and external constituents including but not limited to prospective donors, University Relations staff and the University President’s Office. They will respond to a high volume of daily inquiries via telephone and email.   Must be able to work nights and weekends as needed, as well as travel locally 10% of the time.   Example Duties include but are not limited to:
  • Event Supply Packing
  • General email correspondence and customer service
  • Event administrations (name badges, speaker packets)
  • On site event assistant
  • Office/Team Financial Reconciliation
  • Monitor and Manage account transactions
  • Vendor invoices and correspondence
  • Scheduling meetings
  • Travel Arrangements

Bachelors degree and Four years experience in administrative staff work. Working knowledge of reference and research methods and techniques used in collecting, compiling, and organizing data and information, working knowledge of analytical and statistical principles and techniques. Skill in the use of office automation software and its applications, ability to establish and maintain effective working relationships, to handle sensitive materials with discretion and tact, to present ideas and information clearly and concisely, both orally and in writing; to perform mathematical computations; to present statistical material in chart and graph form. Ability to independently handle multiple tasks and set priorities. Except for qualifications established by law, additional related experience and formal education in which one has gained the knowledge, skills, and abilities required for full performance of the work of the job class may be substituted for the education or experience requirement on a year-for-year basis with 30 college credits being equivalent to one year of experience.
