Job Summary:
Reporting to the Executive Assistant to the Office of the Associate Vice Chancellor (OAVC), this position provides administrative support to the OAVC, as well as the Executive Director of Facilities Planning & Delivery (FP&D), and staff in the FP&D unit. This position is responsible for the organization, security, and confidentiality of records and files and may be involved with highly sensitive and confidential issues including personnel issues, real estate development acquisitions, and facility planning.

Provides administrative support to a department or group of professionals in support of unit goals under direct supervision

Responsibilities:
Provides administrative support to a department or group of professionals in support of unit goals under direct supervision
- 15% Schedules logistics and secures resources for meetings, conferences, travel, and work unit operations
- 20% Sends, receives, copies, and distributes communications to the appropriate entities according to established policies and procedures
- 5% Tracks, stocks, orders, and inventories office supplies to ensure adequate materials are available for workplace operation
- 45% Serves as first point of contact for individuals and groups providing basic organizational information via phone, in person, and through other communication mediums, routing more complex inquiries to the appropriate entities
- 10% Manages multiple calendars
- 5% Work on special assignments and assist the Associate Vice Chancellor and Deputy Associate Vice Chancellor when the Executive Assistant is not available
