JOB SUMMARY

Reporting to the Associate Director for Absence Management, the Case Intake Assistant (CIA) is an integral part of the Absence Management unit to support the ADA and Leave process. The CIA will serve as an initial point of contact for leave and accommodation related inquiries, including but not limited to case intake, general policy questions, sending and receiving documentation, and supporting administrative work of the team.

MINIMUM QUALIFICATIONS

Two years of college coursework in human resources, human services, business or related field
  • One year of experience in customer service or administrative work
  • Excellent written and oral communication skills with strong attention to detail
  • Proficiency in Microsoft Office including Word and Excel with experience in database/case management systems
  • Experience dealing with customers/employees and exceptional use of empathy and active listening skills
  • Ability to manage confidential and sensitive employee information Preferred Qualifications:
  • Experience with Workday
  • Knowledge of leave laws or ADA laws.

    KEY RESPONSIBILITIES & ACCOUNTABILITIES

    Serve as the first point of contact for leave and accommodation related inquiries, including but not limited to case intake, general policy questions, and sending and receiving documentation
  • Ensures employees are referred to the correct team member as appropriate
  • Manages shared inboxes for both leave and ADA team
  • Monitor incoming documents, including email and E-Fax, to support timely communication with employees and ensures documents are filed in electronic system timely
  • Sends appropriate notices to employees including Rights and Responsibilities and ADA Notification
  • Uses Workday, as needed, to perform daily tasks including but not limited to verifying case information and employee data
  • Works closely with team members to keep up to date on process changes, partner for resolutions to employee questions and consult to improve processes
  • Monitors timelines for sending required notices and documentation due dates. Partners with team members to notify when documentation has not been received
  • Tracks case related data, including intermittent leave tracking and ADA requests.
