Summary/Objective

The Faculty/Academic Support Specialist is responsible for supporting and maintaining a high level of quality customer support to students, faculty, and staff in the Urban Teachers program within the School of Education (SOE). The position provides administrative support for the full-time, term, and adjunct faculty actions including appointments, reappointments, promotions, leaves, faculty awards, searches, teaching assignments, and faculty course loads, as well as administrative actions related to course development, approval, and curriculum matters. The position also provides general Office Management Support backup including overseeing the office suite reception area.

Essential Functions
  1. Faculty Affairs- Work with Program Liasion, MAP Program Director, associate dean, and assistant dean to complete appointments and reappointments for fulltime and adjunct faculty.
  2. Main Office Administration- Manage administrative functions and student services for SOE to ensure the needs of the students, fulltime and adjunct faculty, and staff are met.
  3. Course Scheduling and Curriculum Process- In cooperation with Program Liaison and MAT Program Director, Associate Dean for Academic Affairs, and Assistant Dean for Academic Administration, oversee and optimize the schedules for UT programs (online and ground).
  4. Other Duties as Assigned by SOE Leadership - Including external projects (e.g., Advisory Board meetings, fundraising activities).


Supervisory Responsibility
  • This position reports to the SOE Faculty Affairs Coordinator.
  • No full-time employees report to this position; however, the incumbent may supervise work studies, graduate student assistants, and/or part time employees as necessary. Will work closely with all members of the Dean's direct and indirect staff. May represent SOE at certain school, departmental, or university meetings related to faculty affairs.
  • The nature of this position is to facilitate interaction between faculty and other units both within and outside the School of Education.
Work Environment
  • The nature of the role this position plays within the organization is to manage all aspects of the administrative support and student services activities carried out by administrative support staff in the Urban Teachers program within SOE and coordinate student services activities with program directors, to ensure the smooth operation of the program. Provides direct support to faculty in terms of scheduling, materials, and access to information.

Required Education and Experience
  • Bachelor’s degree or equivalent in training or experience required.
  • Minimum of 3 years of relevant experience, or an equivalent combination of education and experience that demonstrates the necessary skills and abilities required for the job.
  • The position requires someone who is highly organized, energetic, self-motivated, requires minimal supervision, and demonstrates excellent interpersonal, oral and written skills.
  • Must be able to balance the needs of students and faculty with the tasks of the office.
  • This position works closely with highly confidential material.
Preferred Education and Experience
  • Candidate should possess excellent project management and computer skills including spreadsheet, database programs, and advanced word-processing skills.
  • Knowledge of Outlook and Datatel is desired.
