Position Summary:
This position is responsible for the managerial oversight of the Visit Team and guides the work they do to develop and implement programs that showcase the University to prospective students, parents, and counseling professionals. The Sr. Associate Director provides direct and collaborative support to the Assistant Director of Admission Events and Visit Coordinator, as well as student ambassador staff.
This position assumes primary responsibility for and leadership of the ongoing development and delivery of a compelling and consistent program and message to our visitors prior to, during, and following the visit experience.
This position will serve as the primary liaison with Marketing and Communications and serves our recruitment needs by managing the continued evolution of our communication strategy. This will include oversight of coordinated communications relating to recruitment travel, on- and off-campus events, daily visits, and digital/virtual campaigns.
As with other senior leaders in the Office of Admissions, the Sr. Associate Director is also an admissions officer who maintains a small recruitment territory serving students from a dedicated region interested in attending Willamette.

JOB DESCRIPTION
- Develops recruitment strategy as it pertains to on campus
visits and events and manages event and visit staff
- Establish a yearly calendar of dates and times for optimal
daily visitation experiences for prospective and admitted students
and their families, as well as group visits and transfer admissions
sessions.
- Create and regularly evaluate dynamic visit programming in
collaboration with the events team.
- Regularly reports visit data up to office leadership, and uses
this data to adjust strategy creating the most robust and
productive visit experience possible
- Provides leadership to Communications team regarding print,
web, and other promotional needs for visit program and
events
- Acts as campus contact for any ‘recruitment' events - and
ensures admission presence
- Works with office's Athletic Liaison to coordinate team
recruitment event days
- Supports hiring, training, and development of student staff
teams including admission ambassadors (tour guides) and overnight
hosts
- Establish a yearly calendar of dates and times for optimal
daily visitation experiences for prospective and admitted students
and their families, as well as group visits and transfer admissions
sessions.
- Develops Communication Strategy in partnership with Marketing
Communications office
- This position serves as a the lead team member tracking
communication projects and working collaboratively with the
Marketing Communications staff to help develop the admission
marketing and communication strategy
- Serves as the primary liaison to our partners in the Marketing
Communication office, where creative and compelling marketing
materials are developed
- Manage the project development and distribution calendar of
communication including: print materials and projects, email
campaign management, web update requests, social media campaigns
for admission accounts, and other creative projects as
needed
- Support the development of Willamette's brand in our
marketplace, ensuring fresh, timely, and distinctive
story
- Understands the needs of, and communicates with, a wide
spectrum of stakeholders, namely prospective students, parents and
families, and partners in college counseling
- Analyzes the effectiveness of the marketing strategy using
data, and makes recommendations for improvement
- Lead projects in the department that are directly related to
marketing and events.
- This position serves as a the lead team member tracking
communication projects and working collaboratively with the
Marketing Communications staff to help develop the admission
marketing and communication strategy
- Lead Team work
- Serves on lead team with other Sr. Associate/Directors of the
office - ensuring clear communication and collaboration between all
internal teams
- Chairs an internal team aimed at executing special recruitment
strategies that may include: transfer recruitment, international
student recruitment, technology development and training,
diversity, access, and inclusion best practices, and alumni and
parent engagement.
- Serves on lead team with other Sr. Associate/Directors of the
office - ensuring clear communication and collaboration between all
internal teams
- Territory Management
- Due to the nature of this role, recruitment travel will be
minimal, but may expect 3-4 weeks of recruitment travel in the fall
and 1-2 weeks in the spring.
- Executes reading process for small territory
- Develops relationships with counseling partners from that
territory and knowledge of nuances of region as it relates to WU's
enrollment history
- Mentors other recruitment staff and admission ambassadors as
part of office professional development
- Attends and supports all on and off campus recruitment
activities
- Due to the nature of this role, recruitment travel will be
minimal, but may expect 3-4 weeks of recruitment travel in the fall
and 1-2 weeks in the spring.
- Other duties as assigned.
MINIMUM QUALIFICATIONS
- Bachelor's degree required.
- A minimum of two years of experience working in admissions or
related field, preferably from an independent residential liberal
arts college.
- Strong written and verbal communication skills, including the
ability to describe University programs and campus culture. The
ability to articulate the value and benefits of a liberal arts
education to a variety of audiences is essential.
- The ability to work independently as well as establish and
maintain collegial relations with other University staff, faculty
and students.
- The ability to work collaboratively as a member of a close and
integrated team of admission professionals
- An appreciation that the majority of work takes place in our
physical office or while traveling physically to high schools,
workshops, and college fairs, with a limited number of work from
home days incorporated into the schedule.
- The ability to plan, organize and implement programs and
projects related to the University's enrollment goals.
- Technology skills to support territory management, daily
contact with students, faculty, staff and others, and to support
the goals and mission of the University, are essential.
- An appreciation for college-age students and the varied nature
and expectations of serving that population.
- Demonstrates a commitment to diversity and an ability to work
effectively with individuals and groups from a variety of
identities, cultures and backgrounds.
- Ability to reside in Oregon by the first day of employment or
otherwise primarily perform work in Oregon.
Preferred Qualifications
- Experiential knowledge of a University environment and
undergraduate admission.
- A sincere appreciation for people of under-represented
backgrounds and a loyal commitment to the University's
mission.
- Ability to communicate verbally and in writing in a second
language.
- Experience with Slate CRM (Technolutions).
Typical Work Schedule
Monday through Friday, 8am to 5pm
Physical Demands & Working Conditions
Typical work is performed indoors in a normal office environment.
