Position Summary:
The Director for Advancement Data Analysis and Systems must be an effective data analyst, project manager, communicator, and data management professional. Reporting to the Executive Director of Advancement Strategy and Operations, the successful candidate will be responsible for the comprehensive strategy and execution of Advancement data analytics, reporting, and data systems.

This includes the management of the data entry operation, coordination of routine data requests fulfillment, responsibility for strategic reporting and analysis, and the project management of routine and division enhancing programs. It requires expertise in the Advancement database and proficiency in reporting, data analysis and visualization, and project management tools. This role identifies projects that will help increase the effectiveness of the Advancement team through data usage, reporting, and analysis.

JOB DESCRIPTION

Program Management and Supervision (50%)
  • Create, implement, and evaluate a comprehensive multi-year plan for how Advancement uses and interacts with Data, Reporting and Analysis to drive decision making and fundraising activities.
  • Serve as part of the Advancement Strategies and Operations leadership team, participating in the development of unit priorities and annual operating plans.
  • Within Advancement, serve as a leader who works collaboratively with teams to help them formulate data-driven program plans.
  • Work proactively with campus leaders to establish security standards and data flow, usage rules, and integrity.
  • As the leader of the data and analytics team, manage three staff members and multiple student employees. Hire and train staff as appropriate by being versed in all aspects of data and reporting. Maintain good communication with direct reports and provide ongoing feedback to maximize performance and development of staff.
  • Business intelligence specialist in advancement as the lead project manager for the development of tools (reports, automated uploads, etc.) to maximize efficiency of routine work.
  • Manage a best practice operation of data acquisition and integrity, including the implementation of routine processes in the data acquisition calendar, the development and implementation of data integrity reports and processes to correct discrepancies.
  • Responsible for developing Advancement measurements and metrics and fostering data driven decision-making throughout the Advancement division, helping build reports and supporting analysis projects.
  • Ongoing responsibility for data analysis and recommendations for advancement programs and division key performance indicators.



Program Execution and Training (35%)
  • Manage a best practice operation of gift processing, working closely with Donor Relations & Stewardship to support processes for gift acknowledgement and donor stewardship. This includes ensuring accurate gift and pledge recording and implementing an acknowledgement and reminder system that is accurate and timely in execution.
  • Develop reports using business intelligence software that are distributed throughout the division to be used by program managers in strategic decision making.
  • Develop and maintain the Data Dictionary and Documentation Directory for Advancement to maximize consistency, accuracy, and access.
  • Develop and implement position-specific training on Advancement data and the Advancement database for Advancement staff and appropriate campus partners.
  • Serve as the primary liaison to the Finance Office for accounting reconciliation and fund management. Work directly with the Finance Office to reconcile all business transactions on a quarterly and annual basis.
  • Create, produce and review a portfolio of reports for Advancement leadership.



Ethics and Data Stewardship (10%)
  • Adhere to the ethical guidelines set forth in the Case Donor Bill of Rights, the APRA Ethics Statement and Willamette University policies on privacy and data usage.
  • Follow the industry counting and reporting standards set forth in the CASE Reporting Standards and Management Guidelines and serve as the Secondary Data Steward for Advancement; Serve as the Advancement Representative on the WITS Data Stewards Committee.
  • Responsible for determining gift accounting practices and making recommendations to Advancement and Finance leadership.
  • Develop and implement training on these guidelines for division staff and other campus partners who have access to advancement data.


Other Duties as Assigned (5%)
  • Participate fully in on-campus advancement events, including the entirety of Alumni Weekend and Homecoming/Family Weekend. Participate as needed in Opening Days, SSRD/Scholarship Days, Bearcat Days, and other University events.


MINIMUM QUALIFICATIONS
  • A demonstrated commitment to an information-based advancement program and an integrated approach to data and pipeline management.
  • Demonstrated success managing database projects and proficiency with relational databases and query tools.
  • Demonstrated success as a project manager.
  • A clearly articulated management philosophy that supports high performance and employee retention.
  • Exceptional interpersonal and communication skills and a high degree of professionalism and integrity.
  • Ability to adapt to a variety of cultures and customs to engage donors and potential donors in philanthropic conversations.
  • Able to maintain confidential information, navigate relationships with finesse, and work to the highest ethical standards as outlined by the Council for Advancement and Support of Education (CASE).
  • Ability to travel.
  • Proficiency with Microsoft Office Suite, Project Management Software (SmartSheet preferred), and Advancement Databases (The Raiser's Edge preferred).
  • Proficiency with relational or SQL base databases
  • Business Intelligence, Data Exploration, and Visualization tools preferably Power BI
  • Proficiency with report writing languages, preferably DAX
  • Proficiency with project management tools such as SmartSheet.
  • Ability to reside in Oregon by the first day of employment or otherwise perform work primarily in Oregon.


Preferred Qualifications

Experience working in a performance-based environment with tracking of performance metrics.

Experience with coaching required; supervision preferred.

Excellent interpersonal skills to clearly and professionally communicate and form productive and meaningful working relationships with colleagues at all levels of the institution, including donors, volunteers, colleagues and high-level university administrators.

Self-motivated (a “self-starter”); innovative and ability to work with considerable independence within the context of a team environment and a network of relationships; with the ability to manage multiple tasks or projects simultaneously, to prioritize work based on organizational goals; and to proactively and creatively support the work of the Development Team.

Superior written and oral communication, commitment to accuracy, ability to negotiate, organizational skills, analytical and fundraising skills, including the ability to interpret financial information and manage data.

Ability to work occasional evenings and weekends for signature events and activities including Alumni Reunion Weekend.
