Position Announcement

This position provides oversight and direction to accounts payable staff and campus departments relating to payment procedures and processing. Processes various types of requests for payment using the Banner operating system. Prepares advance checks for prepayments and maintains and effective office filing system. Responsibilities
  • Verify W-9 forms are valid for vendors and on file.
  • Responsible for control and recording of 1099 information and year-end preparation of 1099 vendor forms.
  • Control and maintain vendor direct deposit information.
  • Oversees campus travel program including policies, procedures, and processing.
  • Oversees the payment of all vendor bills and institution payment requests.
  • Process approved invoices for payment using the Banner Finance system and verify the integrity of account coding.
  • Oversee the data integrity, records storage, filing system structure, and long-term storage requirements of the Accounts Payable system.
  • Prepare contracted service, travel, and loan payments, as well as requests for checks. Upload payment and record purchasing card transaction.
  • Prepare accounting journal entries as needed for transferring funds or charging departments.
  • Reconcile various accounts payable general ledger accounts and vendor statements.
  • Assist various departments across campus with Accounts Payable questions and provides campus accounts payable trainings, as requested.
  • Weekly processing of purchase card transactions.
  • Assist in year-end closing and financial statement preparations.
  • Perform other duties as assigned.
Qualifications
  • Bachelor's degree in Accounting or related field required.
  • Three years' office/bookkeeping or related experience required; Accounts Payable experience (vendor setup, direct deposit set up, W-9s and 1099 preparation) preferred.
  • Ability to work with senior-level accountants in basic accounting skills.
  • Knowledge of the principles and practices of bookkeeping.
  • Knowledge of maintaining financial records, preparing routine financial reports and forms, and associated use of computer systems.
  • Ability to concentrate on details of projects during numerous interruptions by telephone calls or walk-in inquirers.
  • Knowledge of general office practices and procedures.
  • Ability to communicate effectively, both orally and in writing.
Supplemental Information

POSITION DETAILS, COMPENSATION AND BENEFITS: Full-time professional staff (overtime-exempt) position. Annual salary of $45,000 - $47,000 depending on qualifications & experience. Desired start date of June 2022.
