The Director of Faculty Affairs is responsible for managing and directing all activities of the Office of Faculty Affairs. The Director: provides guidance, interpretation, and administration of faculty employment policies, procedures, and best-practices including appointment, onboarding/orientation, credentialing, evaluation, rank promotion, and phased retirement; develops and promotes policies, procedures, best practices, and provides recommendations for problem resolution; recommends, implements, and maintains Faculty Affairs policy/procedure at the campus level, often in response to changing needs, and disseminates that information to the campus; and serves as the principal liaison between the Office of Academic Affairs, the Office of Human Resources, deans, faculty and departmental administrative staff regarding faculty lifecycle matters.

 This position regularly communicates with academic administrators (associate/assistant deans, deans, and the Provost), faculty employees, human resources staff, general counsel, and full-time and part-time staff. The position functions with a high degree of autonomy to facilitate academic personnel administration at UNCSA. This employee regularly uses independent decision making to address routine and non-routine matters. This position uses professional contacts within the University and System Office to ensure that UNCSA is compliant with personnel policies of the System and the University. This position has a high consequence of error in that failure to perform job duties effectively may lead to the University being unprepared for legal action or grievance processes.

The UNCSA Director of Faculty Affairs recently resigned, after over a decade working in this role. When she entered this newly-created role, she continued in her SHRA classification as a Business Officer. As we examined this position and look to the future of the role, it became clear that the duties are in close alignment with similar roles at other UNC system schools, currently classed as EHRA positions. There are increased expectations surrounding onboarding of faculty and deans that have expanded this position, in addition to oversight and management of the regular management of the full faculty lifecycle.

Communications

  • Responsible for ensuring that campus constituencies are fully informed of policies, procedures, and programmatic actions taken by the Office of Faculty Affairs.
  • Designs and manages all regular communications from the Office of Faculty Affairs to campus, including website content, emails, procedural manuals, in-person presentations, etc.

 

Appointment & Orientation

  • Provides guidance and recommendations to deans and departmental administrative staff regarding policies, procedures, and best practices related to faculty appointment. 
  • Reviews and approves, under delegated authority, faculty hiring action forms.
  • Oversees issuance of contracts and onboarding for new full-time faculty, adjunct faculty, and deans.

 

Faculty Credentials

  • Provides guidance in the ongoing verification of current and potential faculty credentials.
  • Determines required components of faculty credential files and ensures the system and files are compliant with state, federal, and accreditation requirements.
  • Provides advisory support for the ongoing development of faculty portfolios in coordination with the UNCSA SACSCOC liaison. 

 

Faculty Evaluation

  • Administers evaluation process at Provost level.
  • Provides guidance and recommendations to deans, faculty, and departmental administrative staff regarding policies, procedures, and best practices related to the faculty annual evaluation, mid 10-year review and reappointment evaluation process. 
  • Manages appeals process related to non-reappointment.
  • Acts as a liaison and resource to the Reappointment Advisory Committee and the Reconsideration Committee.

 

Faculty Rank Promotion

  • Oversees the administration of the faculty rank promotion process in consultation with the Vice Provost and Dean of Academic Affairs and the Faculty Rank Committee.
  • Manages and updates rank promotion guidelines and procedures.
  • Prepares rank promotion recommendation documents for Board of Trustees review.

 

Faculty Leave & Separation

  • Provides guidance and recommendations to deans, faculty, and departmental administrative staff regarding policies, procedures, and best practices related to faculty leaves of absence. 
  • Administers, in conjunction with Human Resources, faculty leaves of absence, faculty retirement, and faculty separation of employment processes, including review and approval of faculty action forms.
  • Provides guidance on faculty and dean emeritus policies and procedures. Facilitates requests of conferral of emeritus status to the Board of Trustees.
  • Oversees policies and procedures related to the Faculty Phased Retirement program. Coordinates program implementation with Human Resources, Budget, and other relevant offices. Serves as primary point of contact for deans and faculty.

Information Management

  • Responsible for overseeing the process of integrating faculty employment information into Banner.
  • Independently responsible for management of faculty information systems (Interfolio Reappointment, Promotion, & Tenure and Interfolio Dossier Institution) and working with campus constituencies on their implementation and usage

Minimum Qualifications:

Master’s degree in business administration, public administration, or related area and five years of upper-level administrative, data analysis, or related experience, preferably in a higher education setting; or Bachelor’s degree in business administration, public administration, or related area and seven years of upper-level administrative, data analysis, or related experience, preferably in a higher education setting. The incumbent to this position must possess:

  • Ability to read, interpret, and implement established policies and procedures.
  • Ability to develop and revise, through a collaborative process, policies and procedures.
  • Ability to develop and maintain trusted relationships with a variety of stakeholders including faculty employees and academic administrators.
  • Knowledge of human resource and/or personnel administration business processes.
  • Ability to effectively communicate through both written and verbal strategies.
  • Ability to develop written documentation and catalogue information necessary to ensure that the institution has enough information in the event of legal action or grievance processes.
  • Ability to use relevant information, established policies, and operational practices to make decisions about routine and non-routine issues.
