Position Summary:
Job SummaryReporting to the Provost's Office, the position provides administrative support and assistance for the Office of TRiO Student Support and Middle States Commission on Higher Education (MSCHE) reaccreditation activities. Duties include coordinating with the steering committee to schedule meetings and visits, develop documents, and update communications for university stakeholders. The position will report both to the Director of TRiO SSS and the Assistant Provost of Institutional Effectiveness and Strategic Initiatives.
Specific Responsibilities
  • Serve as general support by answering questions from students and visitors, scheduling meetings, coordinating visits from MSCHE commission staff and peer reviewers, coordinating events, etc.
  • Requires the ability to multi-task, manage competing priorities, and manage multiple deadlines.
  • Manage the MSCHE budget, purchase supplies, planning catering, make reservations (e.g., hotel, airline), and complete registrations for professional development as necessary.
  • Monitor feedback forms, surveys, emails, etc. from the university community necessary for completing MSCHE accreditation.
  • Requires the ability to work under federal grant guidelines including annual training for grant compliance.
  • Attendance at staff meetings, minutes, and notes.
  • Help prepare official documents and reports for review by university stakeholders and MSCHE staff.
  • Willingness to learn program specific digital tools (e.g., Blumen, Outlook, Teams) support staff and relevant documentation.
  • Requires working and communicating with many constituents, including administrators, staff, faculty, and students.

    Required Qualifications:
    EducationHigh school or equivalent required.ExperienceTwo years of experience working in a professional office is required.

    Knowledge, Skills, Abilities Knowledge of basic office equipment including personal computers, copy and fax machines multi-line telephones, Microsoft software systems and internet/outlook. Knowledge of English language including meaning and spelling of words, rules of composition and grammar. Skilled at written and verbal communication. Ability to set priorities and advocate team concepts; work collaboratively with faculty and staff; ability to maintain confidentiality and understand related regulations; and capable of maintaining attention to detail and professional interactions.

    Physical DemandPosition requires the ability to stand or sit for extended periods of time. Position requires the ability to move about the campus. Position requires the ability to talk and to hear instruction. Position requires occasional manual dexterity and the ability to use fingers, hands, and arms to feel, handle, and reach. Position requires occasional stooping, crouching and bending. Position requires the ability to occasionally lift up to 10 pounds. Normal office work environment.
