Job Description:

The Senior Reunion Giving Program Coordinator has responsibility for working alongside the director and associate director for reunion giving and the 25th reunion gift officer to execute a comprehensive reunion gifts program resulting in increased support for Washington and Lee’s Annual Fund and select capital priorities for the 25th and 50th reunions. The Coordinator provides support to the director and associate director and the 25th reunion gift officer and for the volunteer reunion committee chairs and committee members in 8 spring reunion and 5 fall reunion classes. This position will support Reunion Giving eighty percent or 1,456 hours and Annual Giving twenty percent or 364 hours.

Essential Functions:
  • Provides support for the management of reunion volunteers, volunteer and donor communication, assignment of donor solicitations, gift tracking and acknowledgement.

  • Coordinates and provides database driven reports in a systematic and chronological format for timely review and analysis by staff members and volunteers.

  • Assists in the planning and management of 25th and 50th reunion committee meetings including making hotel, meeting space and meal arrangements for on and off-campus committee meetings

  • Assists as staff support for all committee meetings and conference calls of the 25th and 50th reunion committees and for conference calls for other committees as assigned.

  • Serves as liaison to the development writer and advancement communications writer for creation of recruitment and training materials; solicitations; acknowledgements; reunion honor roll(s); and reunion content for W&L Magazine, website, and other publications.

  • Provides support for the director and associate director for reunion giving and the 25th reunion gift officer including travel planning, database management, contact report entry, tracking and other administrative duties as assigned.

  • Represents the university at alumni events and other on- and off-campus functions as directed.

  • Additional related duties as assigned.

Work Schedule: Monday - Friday, 8:30am - 4:30pm

Minimum Qualifications:

High school diploma plus three years of administrative support experience, or a combination of education and experience from which comparable skills are acquired. A Bachelor's degree is preferred. Position requires strong organizational skills, the ability to work collaboratively and strategically, and proficiency in prioritizing assignments to complete work in a timely manner and on deadline. The position requires interpersonal skills, the ability to listen effectively, and excellent written and oral communication skills. High levels of energy, motivation and determination required. The ideal candidate will be a self-starter who works independently and can manage multiple tasks simultaneously.

Proficiency in Word, Outlook and Excel is required, and exposure to fundraising software or databases is preferred. Some travel and weekend/evening work will be required.

Physical Requirements:

Working Conditions: The worker is not substantially exposed to adverse environmental conditions.

Types of Work: Sedentary work: Exerting up to 10 pounds of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects, including the human body. Sedentary work involves sitting most of the time. Jobs are sedentary if walking and standing are required only occasionally and all other sedentary criteria are met.

Minimum Pay:

$20.77 - Pay Commensurate with Experience
