Job Summary

The CU Museum encourages applications for an Executive Assistant to the Director ! This position is a key member of the administrative team. They work to provide administrative support to the Director of the Museum and through them the Museum faculty, staff, and students. They interact with collaborate with the Finance/HR team and the Museum and Field Studies program, to bring a professional, service-focused environment for all elements of the museum and its programs.

Who We Are

The University of Colorado Museum cultivates exploration and appreciation of the natural environment and human cultures through research, teaching, and community outreach. We provide academic training for graduate students in Museum and Field Studies; build, conserve, and interpret research collections; and offer exhibits and educational programs for the University and the public.

What Your Key Responsibilities Will Be
  • Supports the Director and collaborate with other Administrative Staff members by:
    • Providing coordination and management on strategic visions and their implementation across the Institute.
    • Leading all aspects of scheduling and coordinating the Director's appointments, meetings, and conferences, including organizing and balancing competing priorities on the Director's calendar. Provide travel arrangement support for Director’s office.
    • Maintains and manages the day-to-day operations of the museum by recommending, purchasing, and or leasing office supplies, copiers, furniture, etc. Act as the liaison for the Museum with OIT.
    • Ensuring that Museum activities align with Institute bylaws and standing rules and as well as rules and regulations of the University.
    • Bringing innovation to the Museum’s vision of inclusive excellence and support the Director in promoting equity, diversity and inclusion across the Institute.
    • Representing the Director’s Office to university constituents in a professional, timely and informational manner, acting as a liaison and interacting with varied audiences, including high-level administration, faculty, staff, students, affiliates, key university entities such as the Research and Innovation office (RIO) and the CU Foundation, community members, and external constituents.
    • Coordinate development and composition of letters and reports (e.g., in support of tenure and promotion, or ARPAC exercises) for the Director, request data and letters from Institute personnel and scholars outside of the Institute to support the Chair of the Personnel Committee, assign data gathering or report production tasks to Institute administrative staff, and/or coordinate and compile data for letters or reports.
  • Participates as a member of the Museum’s Social Media Team.
  • Maintains the database of museum faculty serving without compensation (WOC's). Reports and delivers faculty information to University Administration and to Departments where curators have their tenure homes. Prepare all letters of appointment from the Museum.

What We Can Offer

The hiring salary range for this 50% FTE position is $24,000 - $25,000 annually.

What We Require
  • Bachelor's degree.
  • 2+ years of administrative experience directly related to the work assignment, ideally in either a research or academic environment.
What You Will Need
  • Ability to build an encouraging, cohesive work environment.
  • Proficiency with Microsoft Office applications (Word, Excel, PowerPoint, Outlook).
  • Experience interacting with students, researchers, and faculty, or a varied work staff with complex needs.
  • Proven track record of working as a team member within a collaborative work environment.
  • Ability to work independently in a fast-paced environment and prioritize multiple projects and requests.
  • Strong organizational, planning, and analytical skills.
  • Writing and editing skills.
  • Communication and verbal skills.
What We Would Like You To Have
  • Extensive knowledge of business applications from CU or similar institution.
  • General knowledge of website management /social media tools.
  • General knowledge and skills related to inclusive excellence and inclusive performance management.
  • Desire to acquire deeper knowledge and expertise related to equity, diversity, and inclusion and ability to provide innovative leadership and recommendations in assisting the Museum to meet inclusive goals.
  • Fluency in Spanish.
