Job Summary

The part- time Administrative Assistant is a key supporting member of the Office of Accessibility Services (OAS) team within the Center for Student Success. As the first point of contact for the OAS, the Administrative Assistant will guide students, parents, staff and faculty as they engage with and seek support from the office. The ideal candidate for this position will embody the existing culture of customer service, respect, inclusion, and teamwork. This position will report to the Director of the OAS.

Responsibilities:
  • Coordination of the day-to-day (M-F) operations of the OAS Testing Center, which includes:
    • Careful review of the exams@simmons.edu inbox;
    • Communication via email to faculty, students with confirmations and replies to inquiries;
    • Arranging exams for the day and week ahead;
    • Receipt and processing of electronic exams into paper format;
    • Ensuring that space is available for each student to take their exam and scheduling auxiliary spaces as necessary;
  • Daily and careful review of access@simmons.edu, the primary OAS email account, which receives varied inquiries and messages from students, faculty, parents, alums, etc.;
  • Oversee the front office including responding to phone calls, mail and e-mail inquiries from faculty, students, staff, parents and external vendors, and triaging student walk-in inquiries;
  • Provide general administrative support for the OAS, including but not limited to booking rooms, scanning resources, converting materials into accessible formats, and ordering supplies, equipment, and provisions;
  • Assist with the preparation and processing of office invoices and expense statements;
  • Supervise undergraduate office assistants, including hiring, training, scheduling, and approving timesheets for student employees within Workday;
  • Assist with scheduling department members' calendars, as requested;
  • Assist in processing confidential student medical documentation on behalf of OAS, as needed;
  • Abide by FERPA as interpreted by Simmons University and maintain student confidentiality;
  • Other duties as assigned.


Qualifications:
  • Bachelor's Degree or equivalent work experience;
  • 1+ years of experience in an administrative support position with a focus on customer service (prior experience in higher education preferred);
  • Strong customer service skills with the ability to communicate effectively in person, over the phone, and in writing;
  • Excellent time management and organizational skills;
  • Highly motivated individual with an ability to work individually as well as part of a team;
  • Commitment to working with diverse individuals;
  • Proficient with utilizing Gmail and the Google Suite (Calendar, Documents, and Drive), with particular fluency with Google Sheets and Forms.
  • Prior experience using Workday and Moodle preferred;
  • Proven ability to perform duties with a high level of professionalism, flexibility, discretion, judgement, diplomacy, empathy, and tact;
  • Ability to work a part-time, 20 hours per week, five-day-a-week schedule.


This position may be eligible for partial remote work.
