Job Description:

POSITION SUMMARY
Reporting to the Assistant Director of Integrated Processing, the Integrated Processing Specialist performs a variety of responsibilities related to Enrollment Services at the College. The Integrated Processing Specialist evaluates documents and executes processes that support the functions of admissions, financial aid, registration, and student record-related duties, with a focus on one area with the opportunity to be cross-trained for potential advancement.

ESSENTIAL FUNCTIONS OF THE JOB

Academic Document Processing
Performs duties associated with records maintenance and research. Processes grade changes, corrections, and changes to demographic record information. Posts high school articulation updates and prior learning assessment updates in the student information system. Ensures all required supporting documentation is received and stored in the student record in the document management system.

Performs duties associated with registration. Processes multiple types of registration request activity following College practices, restrictions, and deadlines. Stores all registration adjustment request documentation in the student record in the document management system. Makes any notations needed within the student information system regarding registration activity and/or records updates. Manages the registration mailbox for appropriate disposition of all emailed registration requests.

Performs duties associated with transcript evaluations. Processes high school and college transcript documents. Enters data into student information and degree audit systems. Follows state rules and College practices and guidelines.

Financial Aid Document Processing
Informs and assists with the tuition adjustment request/appeals process and administration withdrawals. Processes documents and enters data into the student information system and Federal Financial Aid Processing System. Follows federal and state regulations and College practices and guidelines to ensure institutional compliance. Certifies student eligibility regarding” citizenship; selective service registration and veteran’s status; federal loan aggregate; defaults, and bankruptcy; social security number; educational purpose; program of study; and academic progress.

Verifies financial data reported on the student’s financial aid applications including the Free Application for Federal Student Aid (FAFSA). Reviews tax and other documentation to determine annual income and verifies student and parent household and asset information. Determines financial need using College and Federal information. Awards Federal, State, and Institutional funds. Revises awards based on change of eligibility and student requests. Reviews appeals-based change of financial and academic information. Assists with the identification and processing of potential fraud issues regarding federal financial aid funding.

Reports updated and corrected student data to the Federal Processor and Loan Servicers. Processes reports from the Department of Education regarding a student’s FAFSA information, loan eligibility, and previous enrollment. Assists with the reconciliation of federal awarding and funding.

Customer Service
Communicates with staff and faculty regarding admissions and financial aid eligibility, required documentation, awards revisions, academic records, and appeal decisions. Interfaces with College departments, Ohio Department of Higher Education, State of Ohio, National Student Clearinghouse, Federal Aid Processing System, higher education institutions, high schools, and other community entities.

Maintains data and statistics of student record information. Maintains student records and required documentation in databases. Maintains confidentiality of student records and other sensitive information.

OTHER DUTIES & RESPONSIBILITIES

PHYSICAL REQUIREMENTS

While performing duties for this job, the employee regularly exhibits digital dexterity when entering data into a computer, frequently sits for extended periods of time, and occasionally stands and walks. The employee converses verbally or manually with others in person and by telephone. Vision demands include close, detailed vision when focusing on a computer screen. The employee occasionally lifts or exerts force up to 10 pounds.

MINIMUM QUALIFICATIONS
High School Diploma or a GED and three (3) years of experience in a clerical, admissions, financial aid, or student service role.

State Motor Vehicle Operator's License or demonstrable ability to gain access to work site(s).
