Admin Support III - Executive Events

Position Category: Staff - Full-Time

Summary:
This position fulfills a key role in providing guest management for high-level Presidential and University events for donors and special guests along with administrative duties related to executive events, including project management. This position manages the tracking of RSVPs for events, attendee correspondence, invitation/guest lists, and post-event data management. In addition, this position monitors and tracks attendee KPI's and ensures attendee data is tracked and monitored through the proper tools. Additionally this position manages purchasing orders and tracks budgeting for multiple events a year as well as performs regular office duties, composing documents, proofreading, data entry, working in Excel and Word. Will also provide event assistance with set-up, tear-down, and guest check-in. This position reports to the Sr. Director of Executive Events and assists other members of the Strategic Engagement team tasks and projects as directed. Required Qualifications:
Graduation from an accredited institution with a bachelor’s degree related to the Summary of Duties or any combination of education and/or experience totaling four years.

Knowledge, Skills and Abilities:
Knowledge:

  • Knowledge of best practices in events, hospitality management, and appropriate matters of etiquette in various settings.
  • Knowledge of Database Management, such as Blackbaud/Raisers Edge
  • Knowledge of event survey programs, such as Qualtrics.
  • Knowledge of operating multiple line phones.
  • Knowledge of record keeping.
  • Knowledge of budgeting and procurement practices.



Skils:

  • Exceptional verbal and interpersonal communication skills.
  • Strong writing and editorial skills.
  • Excellent organizational skills and the ability to pay attention to details.
  • Skill in keeping inventories.
  • Skill in mail merges.
  • Proficiency in office productivity software, particularly Microsoft Excel and Word.
  • Skill in managing POs, requisitions, event budgets, and other financial tasks.

Abilities:

  • Ability to work well with people of diverse backgrounds and personalities.
  • Ability to keep a high level of confidentiality.
  • Ability to work well in busy/high stress environment.
  • Ability to converse with high profile donors.
  • Strong ability to multi-task despite multiple overlapping projects and deadlines.
  • Ability to manage and direct others.
  • Ability to direct certain functions of events.
  • Ability to lift and carry event materials to and from event sites (min. of 25 lbs).
  • Ability to drive (with a valid driver’s license)


Preferred Qualifications:


Physical Requirements:
Must be able to lift up to 25 lbs. Must also be able to deal with sitting at a desk for most of the time, except for event set up and tear down.
