Job Summary
The position of Administrative Coordinator consists of support for the Department and the Department Administrator with all aspects related to seminars, maintenance, ordering, and general department needs.
Essential Functions
- Serve as the primary point of contact to visitors to the administrative offices, including answering / redirecting phone calls and voicemail.
- Coordinate purchasing duties for the department as well as timely completion of facilities and housekeeping requests, as requested by faculty or department staff. Anticipate purchasing needs by monitoring department printer, stationery supplies, kitchen and trouble shoot, aid, or replenish as necessary. This includes maintaining an inventory system for all department supplies.
- Maintain Blackboard course shells for individual students for tracking completion of requirements for MPH applied practical experience and integrated learning experiences and doctoral pre-dissertation and dissertation activities including user maintenance and sending information to be posted on DASH and Symplicity. Maintain department Blackboard pages including announcements, adding users, and uploading content. Maintain and update status of department alumni tracking spreadsheet through Linkedin and other searches.
- Assist department administrator with transaction allocation reporting, travel reimbursements, and SmartSource purchases.
- Schedule and announce department seminars (non-faculty) including assisting with advertising, setup, coordinating with speakers, paying honorariums, arranging travel and expense reimbursements. Schedule and announce doctoral student dissertation defense seminars. Schedule ILE practice and final presentations including collecting agreements, sending out surveys, and creating excel document of final projects. Schedule and announce doctoral student dissertation defense seminars.
- Support HMP student association in scheduling seminars, presentations, and gatherings. Survey students to collect information on status of ILE landmarks
- Submit Courseleaf entries for courses and programs including following up on issues with submissions. Edit MPH, PHD, DrPH and Exec MPH handbooks. Edit MPH, PHD, DrPH and Exec MPH handbooks.
- Responsible for collecting and sorting all incoming and outgoing mail and deliveries.
- High School Diploma or Equivalent
- 2 years related experience
- Extensive knowledge of Microsoft applications (i.e., Word, Excel, Outlook, Powerpoint)
- Experience coordinating research administration and proficiency using computer software programs including MS Office365 and Adobe Pro is preferred.
- Familiarity with Drexel’s administrative systems including Blackboard, SmartSource, and Courseleaf.
- Typically sitting at a desk/table/standing/walking
- Lifting less than equal o 25lbs.
