Confidential Administrative Support II

*** TEMPORARY POSITION ***

This is a temporary position to end on or before June 30, 2023 (renewable on an annual basis contingent upon funding and programmatic needs).

RESPONSIBILITIES & DUTIES:

This position performs administrative, technical, financial, and analytical duties in support of a variety of FASE programs including, but not limited to: equity-minded faculty recruitment, faculty demographic composition, and faculty and labor relations. Researches and provides guidelines and procedures in response to academic senate resolutions, CSU system-wide mandates, coordinates formal union information requests, and campus needs. Provides interpretation and guidance to faculty, academic affairs administrators, school deans, department chairs, and staff regarding Unit 3 and Unit 11 collective bargaining agreements, and CSUCI policies, procedures, and practices. Performs work of a highly sensitive and confidential nature in direct support of the Associate Vice President (AVP) for FASE, requiring regular access to information related to collective bargaining negotiations or management strategies, investigations, grievances, and discipline and provides information and makes recommendations to Academic Affairs management. Provides confidential administrative support to the Associate Vice President for FASE, organizational oversight over faculty recruitment, recruitment training programs, and assessment of training programs, statistical analysis of results, and presentation of outcomes, as well as participation in long-range strategic planning. Provides support for Diversity, Equity, and Inclusion (DEI) training. Stays up-to-date on changes to collective bargaining agreements, university policies, and senate resolutions and policies, while analyzing the impact these modifications may have on Faculty Affairs standard operating procedures, and, in consultation with AVP for FASE, recommends course of adjustment; conducts in-depth analytical studies and investigations which have broad impact (e.g., advancing faculty diversity), makes recommendations for changes in policies or procedures, prepares complex reports (e.g., labor/management joint agreements) and sensitively handles problems such as Union complaints, grievances and disciplinary action of a highly confidential and sensitive nature.

OTHER DUTIES:

Responsible for oversight and monthly reconciliation of the Faculty Affairs budget. May compose correspondence for the AVP for FASE and Provost for Academic Affairs to request, respond, and provide information in regard to FASE. May serve as a backup person for the FASE Office staff during times of peak workload and will perform a wide variety of complex clerical and administrative work functions for the Offices of FASE and Provost, including assisting administrators, faculty, staff, and students within the University. May provide work coordination and oversight responsibilities over staff and workflow. Other duties as assigned.

REQUIREMENTS OF POSITION:

Five years of full-time progressively responsible clerical/technical experience and office support which has provided the applicant with the knowledge and abilities listed. Bachelor's degree from an accredited university, preferred. Ability and specialized skills to: establish and maintain effective working relationship with staff, faculty, administrators and others; work independently and plan day-to-day activities; learn, interpret, and apply multiple and complex rules, regulations, procedures, and policies; identify, analyze, and follow up on problems; exercise tact, good judgment, and discretion; maintain confidentiality, manage multiple assignments and priorities; and utilize a variety of computer applications including word processing, spreadsheet, database, and web software (e.g., Word, Excel, PowerPoint, Adobe Acrobat), and the SPSS data analytical tool. Demonstrated ability to draft clear and concise memoranda and letters; keep a variety of records accurate and current; and perform computations with accuracy. Strong organizational and planning skills are a plus. Thorough knowledge of budget management and record keeping methods and excellent communication skills, excellent time-management skills, ability to work in a fast-paced environment, set priorities and meet deadlines, work on multiple projects simultaneously, take direction, and work independently, strongly preferred. Experience working in a unionized environment preferred. Experience working in a higher education environment preferred.

Hiring Range:  $4,500 - $5,500 per month
