VCU’s Institute for Contemporary Art invites qualified applicants to apply for the ICA Registrar and Digital Assets Manager position. The Registrar and Digital Assets Manager is responsible for all aspects of care, maintenance, and record-keeping of temporary loans to the Institute for Contemporary Art at VCU and for cataloging and managing the Institute’s digital assets. They work closely with the Chief Preparator, and the preparator team to support best art handling and installation practices, and with the Head of Exhibitions to support exhibition planning. The Registrar and Digital Asset Manager leads asset management strategy, and ensures that assets are well-organized and available in support of the ICA’s mission and function. This is a highly collaborative role, working closely with Communications and Content Strategy, Curatorial and Exhibitions Teams as well as other internal and external stakeholders. The Registrar and Digital Asset Manager reports to the ICA’s Head of Exhibitions.
Job Responsibilities
- Create, administer, and manage loan agreements, commission agreements, image rights/reproduction agreements, license agreements, and general facility reports
- Conduct incoming and outgoing condition assessments; oversee condition photography
- Perform duties associated with collection care, maintenance, and documentation by updating and maintaining records
- Update packing and installation instructions in conjunction with the Chief Preparator
- Occasionally act as courier for ICA traveling exhibitions.
- Work with Head of Exhibitions and the exhibitions team to coordinate incoming and outgoing fine arts shipments
- Working with the Facilities and Experience Design and Exhibitions teams, conduct training and consult with front of house staff to develop security and safety plans, policies and procedures for temporary loans
- Manage image rights & reproduction for exhibition projects, including museum publications, in collaboration with curatorial, exhibition, and communications staff.
- Audit assets, metadata, and DAM workflow, as well as provide ideas on how to improve metadata and workflows
- Develop and maintain user education and training documentation, as well as conduct training
- Assist with DAMS vendor management
- Assess DAMS analytics and report out on operational efficiencies; collect relevant statistics and develop performance metrics for the corresponding workflows
- Work in partnership with key stakeholders in determining digital project scope, milestones, and prioritizations
- Establish systems, procedures, policies, and best practices for archiving assets
- Migrate existing assets to the new system
- Assist in digital media research, acquisition, and rights management
- Monitor and track advancements in the field; research, recommend and establish new technical strategies and standards
- Other related duties, as assigned
Minimum Qualifications
5 years of Registration and/or Archival experience
Bachelor’s degree in history, public history, museum studies, library sciences or other relevant field
Highly organized, detail oriented and able to multitask effectively
Demonstrated ability to work independently with minimal supervision
Ability to work in a fast paced environment, and implement creative problem-solving skills
Ability to work in a diverse environment and with a diverse range of colleagues, stakeholders, and visitors is required
Strong interpersonal skills, and demonstrated ability to maintain composure under pressure
Excellent written and oral communication skills
Advanced computer office skills-Excel, Word, Gmail and Google Calendar/Drive
Demonstrated experience working in and fostering a diverse faculty, staff, and student environment or commitment to do so as a staff member at VCU
Preferred Qualifications
Experience working in a Museum, Archive, Research Library, or Special Collections library
Demonstrated understanding of museum best practices for care and maintenance of artwork
Experience working with digital asset management systems and collection management systems
Knowledge of digital preservation systems, standards, and best practices
Museum taxonomy experience
Interest in contemporary art and/or experience working with Contemporary artists
Salary Range: $55-58,000
