Job Summary

Under the supervision of the Director of Research Compliance, the Research Compliance Coordinator provides programmatic and administrative support to the Research Compliance Unit in building and growing a comprehensive compliance program. The Coordinator applies judgment, discretion, and initiative in planning, coordinating and administering projects and events. This position will provide administrative support to the compliance committees, including preparing meeting materials, taking minutes, and drafting and sending correspondence. The Coordinator will conduct research, analyze data, handle information requests, and prepare reports.

Key Responsibilities
  • Develop and maintain close working relationships and is the point-person for communication between the Research Compliance Unit and the staff of the Office of the Vice President for Research and Innovation, Academic Affairs Division (Provost, College, and other AAD units), University Personnel, Research Foundation, Corporate and Foundation Relations, and Tower Foundation
  • Keep abreast of new policies and procedures within those offices and respond to requests for assistance as an internal and external resource on policy and procedural matters
  • Compose correspondence, develop presentations, prepare meeting summaries, departmental reports, and fliers. Disseminate information and action items.
  • Maintain complex appointment calendars, maintain office files, records, and various electronic databases, and manage and maintain the Research Compliance Unit websites
  • Collaborate with a broad campus network of faculty, offices, and department to plan their involvement in Research Compliance Unit programs/initiatives
  • Provide analytical support for proposals and reports as needed to support Research Compliance Unit operations
  • Arrange travel for the Research Compliance Unit, including managing go-card and pro-card purchases and stays within assigned budgets for travel, responsible for timely reconciliation in SJSU Financial System
  • Analyze, develop, and implement administrative systems to support Research Compliance Unit programs and initiatives, including Research ethics seminar series.
  • Respond to, carry out, and manage unplanned projects on short notice
  • Work closely with SJSU Research Foundation staff to administer and track required RCR and Conflict of Interest (COI) training
  • Support compliance committee functions including preparing meeting materials, taking minutes, and drafting and sending correspondence
  • Coordinate response to situations involving confidential or sensitive information with discretion
Knowledge, Skills & Abilities
  • Analytical skill to extract, interpret, and evaluate data from a variety of sources to independently summarize information
  • Critical thinking skills to develop recommendations based on an understanding of applicable regulations and local policies, analysis of information, and awareness of current issues
  • Ability to interact verbally and in written communications with University leadership, faculty, staff, students, and external constituents with the utmost decorum and tact
  • Expertise in investigating and analyzing problems with a broad administrative impact & implications
  • Thorough knowledge of applications and information systems used for word processing, spreadsheets, database management, form creation, document preservation, and web content development and management
  • Ability to utilize applications for creating, organizing, and conducting presentations both online and in-person
  • Understanding of general website architectures, and the ability to change and maintain the Unit’s website
  • Ability to organize, compose, and appropriately format correspondence and reports
  • Ability to make independent decisions, exercise sound judgement, and know when to check in and obtain guidance from the Director of Research Compliance
  • Ability to serve as a key point of contact; must possess excellent customer service and public relations skills
Required Qualifications
  • A bachelor's degree and/or equivalent training
  • Four years of administrative work experience involving study, analysis, and/or evaluation leading to the development or improvement of administrative policies, procedures, practices, or programs
Preferred Qualifications
  • Project Management certificate
  • Four years of related work experience
  • Committee management or project organization experience
  • Experience maintaining website and using various software in an administrative and project management capacity
  • Experience using spreadsheets as an organizational tool
  • Experience with purchasing and reimbursement processes
  • Prior experience with compliance program operations in a legal, technical, higher education or healthcare setting


Compensation

Classification: Administrative Analyst/Specialist – Exempt II
Anticipated Hiring Range: $5,580/month - $6,600/month
Salary Range: $4,693/month - $8,489/month
