Reporting directly to the Dean of the School of Engineering (SoE), the Assistant to the Dean provides administrative support in a one-on-one working relationship. The Assistant serves as the primary point of contact for internal and external constituents on all matters pertaining to the Dean. The Assistant also serves as liaison to the Advisory Council, SoE department chairs and center directors, University Advancement, and University units. This high impact position facilitates all Dean's office operations on a daily basis. The Assistant will work proactively and independently on projects, from conception to completion, and must be able to meet critical deadlines in a timely manner, to handle a wide variety of activities and confidential matters with discretion.

Minimum Qualifications:

• Associate’s degree plus five years of experience; or Bachelor's degree plus two years of experience
• 2 years of administrative experience providing administrative support, including scheduling calendars and meetings, coordinating travel, prioritizing mail, screening telephone calls, and general office management
• 2 years of experience providing direct administrative support to an executive level staff member
• Ability to manage multiple priorities in a fast-paced office environment
• Ability to work independently without supervision
• Effective organizational skills
• Effective interpersonal skills, including the ability to build teams, delegate when appropriate, and engender trust/collegiality
• Experience exercising independent initiative and judgment
• Professional written communication skills, as evidenced by prior experience proofreading executive-level correspondence, handling confidential information, delivering presentations, and collaborating with a diverse group of constituents
• Proficiency in Microsoft Word, PowerPoint, Excel, and Google Suite (Sheets, Docs, Forms, Drive, Calendar)
• Openness to enhancing the Catholic and Marianist culture of the unit and university, including promoting diversity, equity, and inclusion in the workplace.

Preferred Qualifications:

While not everyone may possess all of the preferred qualifications, the ideal candidate will bring many of the following:

• Bachelor's Degree
• More than 2 years of administrative experience providing administrative support, including scheduling calendars and meetings, coordinating travel, prioritizing mail, screening telephone calls, and general office management
• Professional experience utilizing web-based video conferencing applications such as Zoom
• Professional verbal communication skills
• Professional experience serving in an administrative role at a university or college, with preference given to candidates whose background includes exposure to Banner, Cognos, DegreeWorks or similar applications used in higher education
• Provide solid judgment in dealing with confidential information, ensuring accurate and timely distribution of information
• Successful experience using proactive approaches to problem solving
• Successful experience in engaging stakeholders
• Successful experience in engaging individuals from diverse backgrounds and supporting the principles of diversity, equity, and inclusion.

Special Instructions to Applicants:

A federal court on December 7, 2021, issued a ruling that suspends the COVID-19 vaccine requirement that applies to federal contractors nationwide. With this development, the University will pause any enforcement action against employees who have not complied with the requirement to be fully vaccinated by Dec. 8, 2021 or to have requested an exemption to maintain their employment status.

The University will continue to monitor the state of the pandemic on campus and in the community as well as developments in federal and state requirements, and also will continue to regularly consult with public health officials and our medical panel. As has been the case throughout the pandemic, our protocols and requirements are subject to change depending on conditions on campus or in our community, and government requirements.
