Position Details
Wesleyan University is a highly selective private, coeducational, non-sectarian school of liberal arts and sciences offering undergraduate, graduate and PhD degree programs. The student body is comprised of about 3,200 full-time undergraduates, 140 graduate students in the natural sciences, mathematics and ethnomusicology, and 60 students pursuing the Graduate Liberal Studies degree. Over 430 faculty members all teach undergraduates while remaining active as scholars and researchers.
Advancement supports the mission of Wesleyan University by engaging with donors, alumni and external constituencies, soliciting philanthropic giving, and stewarding gifts and grants for both the annual fund and our endowment. The Office of Corporate, Foundation and Government Grants supports the mission of Advancement by securing grant funds from private foundations, government agencies and corporations for institutional priorities; promoting and facilitating faculty seeking external support for research grants and fellowships; and collaborating with Principal Investigators (PIs) to meet grant reporting requirements.
Reporting to the Director of Corporate, Foundation and Government Grants, the main priority for the Associate Director is to facilitate grant proposal submissions by faculty PIs; prepare and submit proposals to public and private funders for University priorities; prepare and submit grant reports; and respond to faculty and staff grant-related requests for information and assistance. This position requires frequent communication and interaction with University colleagues in Academic Affairs, Finance, Institutional Research, Human Resources, and others across campus.

Increasing external funding to Wesleyan: (80%)
  • Identify prospective funding sources and maintain relationships with prospective and current grantors and program officers.
  • Develop and implement strategies to encourage faculty grant activity.
  • Disseminate grant opportunities to faculty and staff, provide individualized support to faculty and staff on all aspects of grant seeking, including proposal and budget development.
  • Design and execute cultivation and solicitation strategies for private and public funding organizations for University priority needs.
  • Draft grant proposals, grant budgets, narrative and financial reports on use of grant funds.
  • Understand federal and state regulations with respect to grant funding and communicate updates to relevant faculty and staff.
  • Connect senior leadership with private funders.
  • Work with alumni, parents, trustees and other volunteers to further the goals of the office.

Administrative Duties: (20%)
  • Maintain and update software systems used for grant and fundraising research and documentation.
  • Maintain accurate and timely metrics on grant activity, communication with faculty, and other data as needed.
  • Support the Office of Advancement and University goals as needed.
  • Other duties as assigned.

Minimum Qualifications
Bachelor’s degree and a minimum of five years’ experience in sponsored research, corporate and foundation relations, or related work with successful grant track record, or equivalent combination of education, training and experience. Proven ability to collaborate with others to facilitate external funding and reporting. Demonstrated knowledge of metrics and ability to track, report, and analyze data. Competence in using federal funding grant portals (e.g. Grants.gov, Research.gov, ASSIST ) or the equivalent. Competence in identifying potential sources of support from funding databases or external resources. Demonstrated experience building professional networks. Excellent communication and writing skills. Demonstrated ability to handle multiple tasks in a professional and timely manner. Demonstrated commitment to work within a diverse environment and interact professionally with individuals of different backgrounds. MS Word, Excel and Outlook skills.
Preferred Qualifications
Knowledge and understanding of private philanthropy and public funding. Experience with fundraising and/or financial management systems. Proven ability to facilitate grant seeking from federal funders. Experience with IRB , IACUC , OMB Circulars and other federal policy documents and processes. Master’s or other higher education degree.
