Williams is now accepting applications for a full-time Administrative Assistant to support the Department of Arabic Studies ; the Department of Asian Languages, Literatures, and Cultures ; the Program in Asian Studies ; and the Program in Comparative Literature . This is a full-time, 40hr/week, 12 month position, with benefit eligibility.

Responsibilities
  • Assist unit chairs in various administrative tasks (e.g., course catalog preparation’ managing student records; hiring of faculty, teaching staff, and student teaching assistants; tenure evaluation prep work)
  • Manage unit communications (e.g., maintaining websites, social media platforms, bulletin boards, and email lists)
  • Assist unit chairs in managing budgets and expenditures (including special gift funds and student fellowships, reimbursements, Pcard reconciliations)
  • Help unit faculty with various tasks (e.g., scheduling and preparing rooms for events, preparing course reading packages)
  • Coordinate guest lectures and events (e.g., arranging travel, accommodations, and schedule; processing honoraria; event food ordering and publicity)
  • Participate in monthly meetings with staff supporting the Center for Global Languages, Literatures, and Cultures (CGLLC) and other units that are affiliated with the CGLLC; regularly update CGLLC staff about events organized by the four units
  • During the summer months, provide light office support for faculty in the Department of Romance Languages, and the Department of German and Russian as needed.


Qualifications
  • Associate’s degree or the equivalent combination of education and experience
  • Excellent organizational skills with an ability to prioritize, organize and execute multiple tasks
  • Proficiency with, or an ability to learn, technology including but not limited to Microsoft Excel, Google Suite, Adobe Acrobat, InDesign, Wordpress and DocFinity
  • Ability to maintain confidentiality in regards to personnel and student information
  • Demonstrated event planning and management experience
  • Familiarity with foreign language learning and/or international education (preferred but not required)
  • Ability to work collaboratively with others as well as independently
