The Center for Communication Programs is seeking an HR Payroll & Administrative Coordinator to serve as the primary contact for all Student, Casual and Limited work-related activity and file management. The position will also serve as an alternate for foreign office staff HR administrative duties.

Specific Duties & Responsibilities:

Payroll & Other Administrative Support

  • Process timesheet entry for Student, Casual and Limited positions
  • Research and respond to Payroll and other HR inquiries as appropriate
  • First point of contact for compensation adjustment request emails to ensure all required documentation is included for HR Manager review
  • First point of contact for all CCP staffing requisition paperwork submissions; reviewing to ensure all required paperwork is submitted and complete
  • Responsible for developing, assisting and maintaining reference documentation/job aids for designated CCP HR positions; to be reviewed quarterly for any necessary updates
  • SAP Analysis standard (monthly, per payroll or weekly), audit review and adhoc reporting; to include report set up, data entry, updating and maintenance
  • Recordkeeping/File Management for physical/paper confidential (US and/or Foreign Office Staff) personnel files; to include but not limited to setup, scanning, filing, auditing, transitioning to electronic files and/or archiving
  • Maintaing generic and JHU classified job description files for all CCP positions; filing to include job description folder as well as employee specific folders
  • Maintain CV/Resume files for designated CCP staff; filing to include job description folder as well as employee specific folders
  • Process standard SAP Internal Service Requests and e210 time reporting system updates for supervisor updates, address changes and any other as needed
  • Track and send periodic HR email communications
  • Assist HR Manager with administrative tasks as assigned may include but not limited to coordination, research, information tracking/tracking sheets, and filing
  • Ensure proper handling of employment related documents
  • First point of contact for reference requests for routing to appropriate respondent, Work Number or appropriate HR contact
  • In Office Liaison as required to complete assigned projects and duties

Staffing Administration

  • Complete pre-employment processes for Students such as determining student employment eligibility, submitting Student needs forms, required I-9s, and coordination of Federal Work Study (FWS) student process
  • Complete pre-employment processes for Casual and Limited, such as review and submit requisitions forms and any other required pre-employment coordination
  • Ensuring Student, Casual and Limited staff receive basic onboarding information, as needed
  • Process all SAP (HRIS) Internal Service Requests and any other necessary position updates for Student, Casual and Limited staff
  • Send regular staffing communication emails; weekly/as needed new hire report emails
  • Review of job postings for accuracy after posting

Alternate HR Support

  • Alternative support during absences of designated CCP HR positions duties
  • Draft foreign Office staff contracts from approved templates in conjunction with the Payroll Coordinator; to include updating and proofreading of draft templates
  • Assist and act a back-up for required OnBase data entry, review and tracking

Other

  • All other duties as assigned

Minimum Qualifications (Mandatory):

  • High School Diploma/GED
  • Three (3) years of related administrative or payroll experience required
  • Additional education may substitute for required experience, to the extent permitted by the JHU Equivalency Formula*

* JHU Equivalency Formula: 30 undergraduate degree credits (semester hours) or 18 graduate degree credits may substitute for one year of experience. For jobs where equivalency is permitted, up to two years of non-related college course work may be applied towards the total minimum education/experience required for the respective job.

Preferred Qualifications:

  • Prior Human Resources related experience is preferred
  • Prior experience with SAP preferred

Special Knowledge, Skills & Abilities:

  • Requires exceptional communication skills and the ability to multi-task in a fast-paced environment
  • Strong interpersonal and organizational skills, self-motivated, excellent written communications, solid grammar and proofreading skills
  • Must be able to work independently, set priorities, maintain deadlines and possess judgment required to effectively communicate with faculty, staff and students at all levels
  • Prior experience with Google Docs, preferred
  • Expertise with MS Office, Excel, and Outlook preferred

Starting Hourly Pay Rate Range: $17.59 - $24.80/hr (commensurate with experience)

Any vaccinations required for these diseases will be given at no cost in our Occupational Health office.
