Haverford College invites applications to our available full time, exempt (at least 37.5 hours per week), benefit eligible Payroll Accountant position.

The Payroll Accountant is responsible for the accurate and timely processing of student payrolls and provides assistant to the Payroll Manager with processing of non-exempt bi-weekly payrolls. This individual works closely with the Human Resources Office and the IT Department to ensure accurate and timely student contact data, position creation and hiring, hours reporting, and wages payment. The position is also responsible for initiating appropriate general ledger entries to the payroll bank account and for monitoring and reconciling payroll accounts payable general ledger accounts.

Essential Functions & Primary Responsibilities:
  • Responsible for the overall processing of student bi-weekly payrolls, validating information, inputting payroll data as needed, reviewing edit reports, payroll registers, and distributing payroll checks.
  • Works closely with various campus offices, especially HR and IITS Department staff, as well as the outside service provider that handles payroll tax filings and printing services.
  • Ensures compliance with applicable payroll policies, procedures, laws and regulations
  • Prepares the uploads and records payroll entries in the general ledger and handles the monitoring and monthly reconciliation of all payroll accounts payable general ledger accounts (approximately 20)
  • Assists Payroll Manager with remitting payroll withholdings to the appropriate vendors and wage garnishment payments
  • Maximizes the use of technology, making recommendations for improvements in the payroll process and in related internal controls, and troubleshooting payroll systems issues when necessary
  • Understands and utilizes the Workday payroll system to maximize operational efficiency and effectiveness
  • Prepares reports, analyses, and correspondence
  • Assists with year-end audits with the preparation of various audit schedules
  • Performs other duties as assigned
Line of Report: This position reports to the Payroll Manager, and has no direct reports.

Education, Training, & Experience:

  • Bachelor's degree and a minimum of 4 years of payroll experience is required.
  • Experience with payroll and accounting in a higher education/nonprofit organization highly desirable.
  • Integrity and sound judgment, excellent communications skills, and the ability to effectively and professionally work with staff, students and all levels of administration.
  • Extremely reliable and has demonstrated experience meeting deadlines
  • Ability to maintain an extremely high level of confidentiality in dealing with sensitive information.
  • Must be detail oriented, accurate and thorough in the planning and implementation of work tasks.
  • Ability to work independently; to multitask and prioritize; to reconcile discrepancies to ensure accuracy; and to be flexible in adapting to changes in priorities and assignments.
  • Knowledge of and experience with Payroll software systems. Demonstrated knowledge of payroll taxes, laws, and regulations.
  • Proficiency in Microsoft Office applications and financial accounting processes and systems.
  • Must be resourceful and flexible in using available resources and technology in the most efficient manner; must be highly adaptable to technological change.
  • Workday payroll experience is preferred
  • Payroll certification, preferred
  • Associate or Bachelor Degree, preferred
