Schedule: Monday through Thursday 9am-3pm and Friday 9am-1pm, up to 29 hours per week.
Position Summary
The Specialist, in the Office of Student Health Records primarily serves as a representative for the College to support student services in the Health and Human Services Division. This role supports students entering a clinical program in the Health and Human Services Division, in the processing of health records, backgrounds, and drug screens. This position also provides support, including working closely within the Division of Health and Human Services Departments, Faculty, Program Coordinators, Staff and other
Student Support Services.

ESSENTIAL JOB FUNCTIONS:
Program Support
Performs various duties within the Health Records Office which include; processing student health records, verifying completion of requirements for student’s academic program, lifting health record restrictions in Colleague, responding to student inquiries regarding necessary requirements to meet their academic program health record requisites, scanning and indexing background screening results and lifting the necessary restrictions in Colleague, and working with faculty and staff to assist in verification or questions regarding completion of the necessary requirements. Performs various administrative duties include; answering phones, returning voicemails, email, making copies, faxing, organizing, and keeping records.
Customer Service
Maintains excellent working relations with the public, students and internal contacts as representative of the Department. Advises students of any deficiencies in their health record and indicates appropriate corrective action. Advises students on how to complete the background and screening process. Maintains student health information and documents encounter and actions taken.
Processes and lift restrictions for background and drug screens. Purges, archives, and destructs outdated records in accordance with established standards and applicable laws. Responds to general or health record inquiries, telephone calls, and voice mails and refers them to the appropriate person. Reviews, analyzes, and interprets documents submitted by students to determine completion of health record requirements.

Physical Requirements
While performing duties of this job, the employee frequently sits at a desk, and regularly stands and walks. Frequently talks and hears on the telephone and in person with office visitors. Frequently exhibits close vision requirements when working on the computer equipment. Frequently uses hands to handle and feel, exhibit digital dexterity when performing production typing, word processing and other computer applications. Employee occasionally lifts up to 10 pounds.
Working Conditions
Typical Office environment. Regular exposure to moderate noise typical to business offices
Knowledge, Skills and Abilities:
Knowledge of: business related software, including Microsoft Office applications (Work, Excel, Outlook, PowerPoint); standard office procedures and practices; office administration; business English word usage, spelling, sentence structure, and punctuation; business and legal formats; FERPA.
Skill in: typing [35-55 wpm]; application of job software including word processing and spreadsheets; proofreading standard business correspondence and other written documents; customer service; office organization; creating functional report formats; verbal and written communications; performing mathematical calculations including addition, subtraction, multiplication, decimals, percentages and fractions.
Ability to: develop and maintain effective working relationships with associates, vendors, students, telephone users and general public; maintain confidential and sensitive information; use good judgement; excellent listening skills; effectively work with persons of varying cultures and diversity; problem solve effectively; exhibit a pleasant public manner and telephone etiquette; originate correspondence; work independently; maintain confidential and sensitive information; maintain accurate and complete work
records.
Minimum Qualifications:
High School Diploma or GED with at least two (2) years of progressively responsible clerical experience. An appropriate combination of education, training, coursework and experience may qualify a candidate. State Motor Vehicle Operator's License or demonstrable ability to gain access to work site(s).
