Job Description

This position is with the Physician Assistant Studies program at the Phoenix Biomedical Campus in downtown Phoenix. It is a full time, 12-month position that provides administrative support to the program faculty and students. The position requires a thorough knowledge of functions within the department to ensure that the departments needs are met, and that policies and procedures are followed.

This position serves as a liaison with other NAU departments and the University of Arizona departments on the Phoenix Biomedical Campus, responds to inquiries about the PA program, and assists visitors. It also prepares correspondence, meeting agendas and minutes, and develops and maintains procedure documents for the department. In addition, this role provides data reports, spreadsheets, and summaries as needed, as well as analysis, and maintains files, databases, records, and other documents for the department. Student course enrollment, room scheduling, course build, campus tours, proctoring exams, event planning, and support are also among the position responsibilities.

This position serves as a critical role in the administration of the student admissions process, documenting the procedures and training other staff and part time employees, reviewing applications for completion, troubleshooting problems, tracking, and reporting data, scheduling interviews, and communicating with candidates. Additional responsibilities include, but are not limited to, requesting payment for preceptors every month, assisting with new student orientation, white coat ceremonies and graduation, ordering supplies and materials for incoming students, and clerical and lab support for faculty, the program manager, and the department chair.

Minimum Qualifications

  • Requires a high school degree; AND,
  • 1-3 years of relevant experience


Preferred Qualifications

  • Associates Degree in relevant area


Knowledge, Skills, & Abilities

  • Knowledge of standard office policies and procedures.
  • Knowledge of supplies, equipment, and/or services ordering and inventory control.
  • Knowledge and proficiency in English composition, grammar, spelling and punctuation, and basic math.
  • Skill in developing and maintaining good working relationships.
  • Skill in gathering data, compiling information, and preparing reports.
  • Skill with Microsoft Office Suite (Word, Excel, PowerPoint).
  • Skill in organization and office management
  • Ability to operate a variety of office machines including personal computers, telephones and copiers.

Background Information

Northern Arizona University requires satisfactory results for the following: a criminal background investigation, an employment history verification and a degree verification (in some cases) prior to employment. You may also be required to complete a fingerprint background check.

Additionally, as an employer in the state of Arizona, NAU is required to participate in the federal E-Verify program that assists employers with verifying new employees' right to work in the United States.

Finally, each year Northern Arizona University releases an Annual Security Report. The report is a result of a federal law known as the Clery Act. The report includes Clery reportable crime statistics for the three most recent completed calendar years and discloses procedures, practices and programs NAU uses to keep students and employees safe including how to report crimes or other emergencies occurring on campus. In addition, the Fire Safety Report is combined with the Annual Security Report for the NAU Flagstaff Mountain Campus as this campus has on-campus student housing. This report discloses fire safety policies and procedures related to on-campus student housing and statistics for fires that occurred in those facilities.

Salary

Salary range is $36,018 - $45,023. Annual salary commensurate with candidate's qualifications and related experience.

FLSA Status

This position is non-exempt under the Fair Labor Standards Act (FLSA). The incumbent is eligible for overtime pay or compensatory time according to University policy. Further, the employee must submit timesheets that accurately reflect all hours worked.

Benefits

This is a Classified Staff (CLS) position. NAU offers an excellent benefit package including generous health, dental and vision insurance; participation in the Arizona State Retirement System; paid vacation and 10 holidays per year; and tuition reduction for employees and qualified dependents. Employees offered a position will be eligible for state health plans (including NAU's BCBS Plan). New employees are eligible for benefits on the first day of the pay period following their enrollment, after their employment date. Employees will have 31 days from their start date to enroll in benefits. Additionally, new employees will begin participating in the Arizona State Retirement System, and the long-term disability coverage that accompanies it, on the first of the pay period following 6 months after the new employee's start date.
