Summary/Objective

This position serves as the primary contact for Provost Office and VP Units (VPR, OGPS, ODLS, DOF and units under VPAA) for all personnel-related operating and administrative matters. This position is additionally responsible for financial and other data analysis, problem resolution, staff and faculty human resources issues, contract coordination, and other various personnel management issues. In consultation with the Sr. Director of Finance and Administration, the Assistant Director of Personnel Administration develops internal processes, procedures and related policies at the Academic Affairs level and implements University policies to further the strategic goals of the University. This position requires minimal supervision and self-direction.

Essential Functions
  1. Personnel Management
    The incumbent serves as the primary contact for all personnel-related matters for the Provost office and VPs units and provides guidance on AU policies regarding personnel, financial and administrative matters as needed to all Academic Affair units.
  2. Salary Budget Administration
    Reviews and analyzes personnel expenses against the Labor Distribution Report to ensure proper allocation of all payments including contract workers.
  3. Financial Management & Process Improvement
    Assist with financial and budget administration for the Office of the Provost and VP units. Processes and tracks budget changes, journal entries, and financial accounting activities required by the Provost Office and VP units.
  4. Other Duties as Assigned
    Other duties and responsibilities as assigned by the Sr. Director or VPAA.


Work Environment
  • This position reports directly to the Sr. Director of Finance and Administration.
  • This position includes a sphere of influence beyond the VPAA Team through assisting with the recruiting, hiring and onboarding of staff in Academic Affair units with special support for the VP Units.

Required Education and Experience
  • Bachelor’s degree required or equivalent in work experience with progressive advancement in work history.
  • Minimum of 5-7 years of budget and administrative experience with multiple department/program budgets and with senior or executive level management.
  • Must be able to work independently and accurately and make reasoned decisions on short notice.
  • Must be able to manage multiple tasks concurrently and adapt to changing priorities.
  • Excellent managerial, analytical, and computer literacy skills required.
  • Excellent oral and written communication skills required.
Preferred Education and Experience
  • A bachelor's degree in human resources management, Business Administration, Accounting or a similar field.
  • A minimum of 3 years experience as a personnel administrator.
  • Excellent knowledge of HR management and recruiting best practices preferred.
  • Must have flexibility and sound judgment with demonstrated adaptability.
  • Must be able to handle confidential and sensitive information.
  • Must be able to work well under pressure, in project teams, multi-task and prioritize work load.

  • The successful candidate must be able to represent the Office of the Provost to internal customers and University Offices with a high degree of professionalism.
