SUMMARY:

The Event Assistant provides support to the Event Coordinator, and works with Cannon Memorial Chapel staff to execute chapel functions. The Event Assistant assists the Events & Support Services teams to execute assigned events.

RESPONSIBILITIES:

Under the direction of the Event Coordinator:

Event Support

  • Maintains relationships with attendees and resolves or manages the resolution of problems or issues as they arise.
  • Fosters positive relationships and works cooperatively with committees and advisory groups associated with assigned events. Serves as the department's representative and supports all university policies and procedures.
  • Assists in the execution of assigned events and other responsibilities, as directed. May assist with summer conferences (summer only).
  • Assists with reservations for space, resources and equipment in the University's event management system; communicates with all departments involved.

Chapel/Columbarium Coordination

  • Ensures each event is conducted within University policies to meet contract conditions and within the allotted time period.
  • Meets with clients and event planner to review details, logistics, and timing of the event. Identifies areas accessible to the chapel attendees.
  • Supervises chapel attendants. Generally, oversees the good working order of the event space. Directs University service staff to ensure the cleanliness of the chapel and/or grounds before and after each event.
  • Directs service providers to designated areas; assists as needed.
  • Responds/troubleshoots as needed.

QUALIFICATIONS:

  • Excellent communication skills. High level of integrity and discretion, and ability to maintain confidentiality and professional composure.
  • High level of organizational skills and the ability to balance a variety of tasks with a high degree of competency and accuracy.
  • Ability to work cooperatively as a part of a team.
  • Ability to adapt quickly, efficiently with tact and diplomacy.
  • Skilled in providing timely, courteous, and efficient customer service
  • Ability to learn and administer safety procedures.
  • Working knowledge of wedding etiquette and protocols
  • Proficient computer skills and ability to learn new computer software programs.
  • Required: Must have a valid Driver's License and be able to produce a driving record with a minimum of 3 years of driving history in good standing

EDUCATION & EXPERIENCE:

  • High school diploma or GED required. Associate degree or higher preferred.
  • 1-3 years' experience in event planning required.
  • Wedding planning/event certification preferred.
  • Columbarium government certification within one year of employment required.

WORK HOURS:

  • Full-time, non-exempt position
  • Monday - Friday, 8:30 a.m. to 5:00 p.m.; 7.75 hours a day; 38.75 hours per week; flexibility required

SALARY STRUCTURE: Pay Grade 3 (Hiring Range $15.88 to $18.68 per hour)
