Graduate Intern for Housing Assignments & Operations

 

Job Description:

 

The Johns Hopkins University is located in Baltimore, Maryland, and the offered position will be at the Homewood campus located in the heart of the city. The Housing Assignments & Operations Graduate Internship is a full-time 40-hour paid position starting on Wednesday, May 11th, 2022 and ending on Friday, August 12th, 2022. The start and end dates are flexible, depending on the selected candidate’s spring and fall schedule.

 

The position is in-person and requires the candidate to reside on campus for the duration of the internship. However, please note that, should JHU change its COVID policies, the internship may be remote.

 

Position Qualifications:

 

  • Pursuing a Master’s in Higher Education Administration or related area.
  • Strong leadership skills and experience supervising student staff.
  • Self-starter with excellent written and oral communication skills, strong customer service, the ability to multi-task & effectively meet deadlines, and work comfortably in a fast-paced, student-facing, diverse environment.
  • Previous experience planning student events, preferably in a residential housing environment or related student services area.
  • Strong working knowledge of Microsoft Office Suite, social media platforms, and email marketing platforms such as Mailchimp. 
  • Experience with StarRez preferred.

 

Job Responsibilities:

 

  • Work closely with the Housing Assignments & Operations to complete housing assignments for the upcoming academic year. Corresponds with students, parents, and staff concerning housing options, rates, and the assignment process. Responsible for creating various assignment documents.
  • Assist in summer housing administration efforts, such as finalizing housing assignments and responding to student inquiries.
  • Serve as the Summer Housing Representative after hours and on weekends.
  • Assist in managing the incoming freshmen room assignment process and revising all publications, forms, and the Housing Portal for new students.
  • Coordinate room switches, reassignments, prepare housing contracts, and assist with the daily management of the first-year and upper-class wait-lists.
  • Support the administration of StarRez Housing Software. Maintain accurate records. Assist with data entry, student billing, compiling and evaluating data, and generating reports.
  • Assist with University Housing closedown in May and opening in August.
  • Work closely with the Associate Director of Housing Operations in the development of marketing strategies for the department. Assist with the revision of the Living at Hopkins website and other marketing initiatives.
  • Assist with various housing administrative functions throughout the summer, including but not limited to commuter exemptions, preparations for early arrivals, move-in, incoming transfers, and the hiring of student staff. Provide support and assistance to ensure readiness for move-in. Collaborate with University stakeholders.
  • Develop communication to be distributed to residential freshmen students with both entertaining and factual information to enhance their residential experience.
  • Support departmental goals and strategies.
  • Other duties as assigned.

 

Graduate Coordinator Expectations include:

 

  • JHU Representation: Provide a professional representation of the Housing Operation Department and Johns Hopkins University.
  • Job Duties and Expectations: Perform all job duties in a timely manner and communicate problems and concerns to the Associate Director of Housing Operations.
  • Staff Supervision: Adhere to guidelines and procedures set forth by the University’s Student Employment Services. Questions and concerns regarding staff supervision and policies should be directed to the Associate Director of Housing Operations.
  • Technology: Adhere to guidelines and procedures established by Hopkins Information Technology Services and the Senior Systems Administrator. University computer equipment should only be utilized for official University business. Only approved software may be downloaded onto University computer equipment and instant messengers are not allowed. Experience with the StarRez Housing Software and/or other database systems preferred.
  • Assignments/Records: Maintain accurate records that pertain to all aspects of the assignment process and disseminate necessary information to designated University staff members.
  • On-Call Responsibilities: Respond to after-hours Housing Operations emergency calls.
  • Weekend Work: Any additional hours as needed by the Housing Operations department. Weekly schedules will be arranged with the Associate Director of Housing Operations.

 

Compensation:

 

$17/hour (max: 40 hours per week)

The Graduate Intern is also provided a rent-free, furnished apartment/suite within University housing and a declining balance meal plan for the duration of employment.
