We are seeking a full-time Administrative Assistant who will provide administrative assistance for the Vice President of Administrative Services/Chief Information Officer.

Essential Duties and Responsibilities include the following. Other duties may be assigned.

  • Manages Vice President's and Chief Information Officer's calendar and schedules appointments & meetings.

  • Greets visitors and provides information to students, faculty, staff, & visitors.

  • Screens incoming calls and correspondence and responds independently when possible.

  • Prepares memos outlining and explaining procedures and policies.

  • Arranges programs, events, and meetings, including the scheduling of meeting rooms that are within the Vice President's and CIO's scope of responsibilities.

  • Prepares committee, task force and other meeting agendas. Attends meetings and records minutes.

  • Prepares correspondence, reports, and other complex documents.

  • Creates and maintains documents, spreadsheet files and other data.

  • Prepares reports and contracts.

  • Assists with special projects and related administrative support duties.

  • Accesses the institutional ERP and other data systems to run reports and enter data.

  • Assists in the creation and maintenance of web pages and portal pages as assigned.

  • Arranges complex and detailed travel plans, as needed.

  • Handles confidential materials as needed.

  • Other duties may be assigned.

Minimum Qualifications:

  • Associate's degree or equivalent from two-year college, or
  • Technical school and one year of office experience, or
  • High School diploma or equivalent and three years related experience, or
  • Equivalent combination of education and experience
