This position coordinates mail, shipping and receiving, purchasing, oversees and reviews requests for expense reimbursements related to professional development, and supervises up to 10 student employees. Additional responsibilities include oversight of supply stock and managing the Library Amazon purchasing account. This position works with staff on special order requests and researches best vendor and cost options. The coordinate reviews professional development expense reimbursements and updates reporting to ensure compliance with budgetary restrictions. The coordinator provides general support to Business Office Manager at the Library. Qualifications
  • Minimum of 2 years related office experience. Purchasing, shipping/receiving experience is a plus. Associate degree preferred.
  • Position requires coordinating, loading, and unloading shipments. Candidates need to be able to lift or move 25-50 lbs. and operate a pallet jack.
Job Specific Qualifications
  • Proficient at Excel and Word. Ability to maintain an existing database. Knowledge of purchasing policies and University reimbursement policies. General business knowledge that would be associated with office experience.
  • General understanding policies related to gift and grant programs.
Responsibilities
  • Manages and oversees outgoing UPS /Fedex shipments. Processes all shipments for Library. Works with vendors to ensure timely processing of shipments and set up of new accounts when needed. Reviews and submits invoices for shipping payment.
  • Oversees purchasing of supplies and management of stock for Libraries. Manages library amazon account and works with library staff to search for requested items at the best prices available. Places ePro orders for standards supplies.
  • Assists staff with completion of travel reimbursement forms and training. Maintains professional development spreadsheet to ensure compliance with budgetary limitations for approved travel.
  • Manages, supervises, and hires student employees. Managing includes scheduling hours in accordance with University guidelines and reviewing federal work study balances to ensure budget Receives and delivers all products ordered by the Libraries. Work with vendors on delivery schedules and material distributions for Amazon orders. Ensures timely delivery of all orders received by the Library.
