Position Summary and Responsibilities
Reporting to the Associate Director of Alumnae/i Engagement, this position provides specialized support to the Reunion and Class Programs team and the Alumnae/i Engagement department as a whole, as needed.
Alumnae/i Engagement produces and implements more than 200 programs each year (in person and virtually) for the benefit of the College's 40,000 alumnae/i. This position is instrumental in supporting program administrators and alumni volunteers in the execution of events and communications, and data related to both.
The Office Specialist has various duties in support of event logistics, vendor relationships, departmental payments, communications (print and email), registration processes, volunteer training, budget monitoring/reconciliation, data management/review, meeting minutes, and customer service. The position's work is cyclical and highly tactical, but ideal candidates will be curious and motivated to contribute to team discussions beyond their daily tasks. This position may also supervise and delegate work to student interns.
This position is scheduled to work full-time (37.5 hours/week) for the full year. Overtime will be required for Reunion and select special events and programs.

Qualifications
  • Two to four years of administrative experience in a fast-paced environment
  • Must be comfortable learning, using, and training others in the use of multiple technologies on a daily basis
  • Possess strong written and interpersonal communication skills, as well as excellent customer service skills.
  • Comfortable juggling multiple and competing priorities, while ensuring that deadlines are met and materials are accurate.
  • Ability to work independently, as well as collaboratively with colleagues and cross-functional teams.
  • Ability to use discretion and exercise careful judgment, as data is often restricted and confidential.


Preferred Qualifications:
Proficient with CRM databases, Microsoft Office products (Word, Excel, and PowerPoint), and Google products (Documents, Forms, and Spreadsheets in particular). This position also deploys additional technologies specific to Vassar College’s Office of Advancement.
