Position Summary

Under general supervision of the Scholarship Lead, the Student Services Professional IB will be responsible for the coordination of aid as it relates to managing the assigned scholarship portfolio. This includes monitoring of scholarship portfolio(s) within Blackbaud software system, providing assistance to various scholarship administrators within colleges and conducting training as needed.

The incumbent will be forward thinking and strategic in support of the new centralized scholarship office and work cooperatively with campus partners to achieve the Scholarship department goals and align with the University goal toward successful implementation of the centralized scholarship office for Sacramento State.

The scholarship analyst will be responsible for awarding scholarship dollars in accordance with Title IV regulations which require the coordination of aid and other resources. The incumbent will be responsible for thorough review of documentation, file verification, awarding and packaging plans. They will maintain knowledge of all institutional policy, federal and state regulations and be able to award scholarship dollars in compliance with stated policy and regulation. Scholarship program responsibilities will include maintaining collaborative relationships with University Advancement Services, College and Department scholarship administrators, donors and other community partners. The incumbent will ensure program documentation is maintained, policies and procedures are updated and training is provided, as necessary.

Assignments typically require the application of both knowledge and judgment in using the principles, techniques, standards, guides and professional skills characteristic of a particular student service program or activity. This generally requires analysis of individual student needs using established guidelines, regulations, and precedents. This role requires the use of sound independent judgment while dealing with moderately complex student service problems. It demands the utilization of effective interpersonal skills with individuals and groups, to be flexible and versatile, use tact and sensitivity, and to apply effective analytical skills in assisting with the preparation of documentation, mandatory reporting and program assessment.

The incumbent must exercise extreme discretion and adherence to regulations governing confidentiality and privacy of records (FERPA) is mandatory. The scholarship analyst will provide a high level of sensitivity and a professional demeanor when counseling students who are of varied age group, disability, diverse culture and financial backgrounds often in highly stressful, emotionally charged situations.

FLSA: Non-Exempt

CSU Classification Salary Range: $3,796 - $5,369 per month

Hiring Range: Anticipated hiring range is near the minimum of the classification, commensurate with candidate's education, experience, skills, and training.

Financial aid education is offered through individual counseling, campus marketing activities and group presentations. Staff also undertakes research and resolution of individual student issues. Minimum Qualifications

Knowledge and Abilities:

Working knowledge of the methods and problems of organization and program management; research and interviewing techniques; principles of individual and group behavior; the ability to rapidly acquire such knowledge of the organization, procedures and activities of the specific campus to which the position is assigned; and the basic principles, practices and major trends in the Student Services field to which assigned.

Ability to rapidly acquire a working knowledge of the specific objectives of the campus Student Services program and its relationship to the total campus operation; interpret and apply program rules and regulations; gather and analyze data; reason logically, draw valid conclusions and make appropriate recommendations; present clear and concise information orally and in written reports; and establish and maintain cooperative working relationships with faculty, CSC administrators, student organizations and other private and public agencies.

Experience:

Possession of these knowledge and abilities is typically demonstrated through the equivalent of one year of experience in professional Student Services work at the ent1-y trainee level. Equivalent amounts of graduate level job-related education may be substituted for the required experience.

Education:

Equivalent to graduation from a four-year college or university in one of the behavioral sciences, public or business administration, or a job-related field.

Required Qualifications
  1. University student services experience (e.g., advising, admissions, student programming or development)
  2. Ability to work effectively in a fast-paced environment subject to frequent change
  3. Strong interpersonal skills and the ability to provide services to a diverse student population
  4. Excellent verbal and written communication skills and a demonstrated ability to communicate effectively in a diverse environment
  5. Proficiency using standard office software packages (e.g., Microsoft Office Suite)
  6. Familiarity working with school-based record/data systems/software (e.g., PeopleSoft)
  7. Ability to apply moderately complex rules, regulations and procedures.

Preferred Qualifications
  • Experience advising students; either in a group or individual setting
  • Knowledge of: (CMS) PeopleSoft, NSLDS (National student loan data systems), COD (Common Origination and Disbursement Systems), WebGrants, ELM (Electronic Loan Management), and Hyland OnBase Imaging System Or Comparable Image & workflow software)
  • Direct experience working performing verification and awarding student financial aid.
  • Two or more years of experience working specifically with Scholarship programs and the coordination of financial aid resources; such as Title IV programs (i.e.: Pell Grants, Direct Loans, or state aid such as Cal Grant)
