Arts and Science Portfolio 3
Job Description
The College of Arts & Science seeks a passionate and experienced professional staff member to assist a subset of academic departments under Portfolio 3 to manage their fiscal, administrative, and reporting activities. The incumbent may typically be responsible to ensure the assigned departments are compliant with all college, campus and UM System business, financial and human resource policies, and procedures.
Primary Responsibilities:
Prepare monthly budget projections and advise faculty, chairs and Portfolio Manager on fiscal matters. Responsible for the daily finance functions of all assigned departments and provide oversight on how funds are spent and documented according to fiscal policies and procedures. Assist the portfolio manager with the annual budget process.
Administer, manage, prepare, verify, and approve payroll through Time and Labor for Monthly and Bi-Weekly employees. Correct timesheets input missing time and adjust leave.
Prepare and execute documentations such as extra compensation, additional pay forms, and other payroll requests for assigned departments.
Monthly financial reports preparation for assigned departments including operating funds, endowments/gifts, service operations and all other funds. (RIF accounts and startup funds will be sent out quarterly)
Payroll reconciliation
Year-end closeout, this includes rolling accounts forward for assigned departments
Advise faculty and staff on fiscal policy/procedures for assigned departments
Assist the portfolio manager in tracking all commitments for assigned departments
Scholarship Universe management (with information provided by DGS/UGS and graduate coordinators)
Meet with faculty, chairs as needed to discuss finances as well as any up-and-coming commitments
Work with the Portfolio Manager, Grant post-award team, Grant pre-award team and AP team on issues that arise involving department financial accounts.
Review employee effort, including summer salary, payroll adjustments, and graduate student payroll. Monitor for policy compliance and fiscal reporting.
As needed, this position will be handling:
- ISE’s
- PCEs
- CRR’s
- Coordinate archiving of old fiscal files from all four departments. They could also work on adding current HR files to online database
Salary commensurate with education and experience.
Salary Range: $47,476 - $60,000/ year
Grade: GGS-9E

Minimum Qualifications
A Bachelor's degree or an equivalent combination of education and experience and at least 3 years of experience from which comparable knowledge and skills can be acquired is necessary.
