Position Description and Responsibilities - Accounting

Reports to - Vice President for Advancement and Communications

Location - Onsite position for the first six months from hire.

Responsible for - The accurate and timely accounting for all Foundation activities.

Skills needed:  - Must have extensive QuickBooks experience

Current/Immediate Tasks: (Estimated time 15 hours)

  • Review and cleanup all transactions posted through 6/30/21
  • Prepare monthly bank reconciliations in QuickBooks for all accounts through 6/30/21
  • Post all auditor journal entries for 6/30/21
  • Agree 6/30/21 final accounting to audit trial balance
  • Link bank accounts to QuickBooks
  • Link PayPal and other merchant accounts to QuickBooks
  • Review bank activity for fraud online daily

 Monthly tasks: (Estimated time 8-10 hours/month)

  • Input transactions into QuickBooks -all receipts, disbursements, account transfers
  • Prepare invoices for open accounts receivable as needed
  • Monitor open accounts receivable
  • Import banking activity in QuickBooks
  • Prepare monthly bank reconciliations for all accounts in QuickBooks
  • Maintain supporting documents for all transactions; document system to be determined by management
  • Maintain art inventory schedule
  • Post investment activities to QuickBooks
  • Maintain fixed assets schedule in excel; post depreciation monthly
  • Prepare monthly balance sheet and profit and loss
  • Prepare annual endowment letters for donors
  • Review and confirm IRS language detailed on acknowledgment letters annually
  • Make recommendations to streamline and automate the recording, processing and acknowledgement of gifts and bill payments
  • Create and automate reports to analyze results by fiscal year (June 30) and calendar year
  • Document due dates and monitor annual compliance for NJ Annual Report, NJ Charity Registration, IRS filing Requirements
  • Establish Standard Operating Procedures for document retention, destruction and online storage to be reviewed annually
  • Provide training for one – four staff annually
  • Set up a petty cash box system

The HCCC Foundation was founded in 1997 with the single purpose of promoting and supporting Hudson County Community College.
