Summary/Objective

Purchases a variety of goods and services including printing, promotional items, computer systems (desktops and laptops), servers, audiovisual equipment as required and within SLA timeframes. Participates in a team that manages and administers the Print Management Project within the University. Reviews simple to moderately complex contracts related to the product categories above and prepares and manages Request for Proposals as needed. This individual is required to keep open communication with all related departments throughout the campus and be integral in decision making with those individuals.

Essential Functions
  1. Procurement - Manage competitive RFP process of assigned commodities in the timeliest and most cost effective manner possible. Develop bid summary sheets as necessary. Investigate background for various size projects. Coordinate with end user to establish specifications, vendor sources, sole-source justifications and/or acceptance/rejection of alternate items, or terms and conditions. Develop sourcing plans for major commodities and vendors. Manage one or more term contracts within the category. Manage strategic supplier relationships to drive innovation and continuous improvements.
  2. Copier administration –Participates in a team that manages and administers the AU Print Management Project to include assessment of needs, replacement requests, review of questionable charges and reconciliation of charges.
  3. Contract creation and amendments -Work with contract team to timely review and prepare contracts and modifications as needed. Familiarity with NDAs, sales/purchase agreement, consulting and master agreements.
  4. Datatel (Financial System) and other computer systems administration- Perform technical tasks including issuing Purchase Orders; year-end processes; and other tasks as needed.
  5. Miscellaneous Dutiesassigned by Director of Procurement


Supervisory Responsibility
  • Individual will be responsible for contracts and purchases amounting to millions of dollars and will be interacting and communicating policies and guidelines with the entire University. This position handles Purchase Orders that total approximately $10,000,000.
Work Environment
  • Ongoing professional training and/or certifications annually are encouraged.
  • Attend annual conferences as PCD budget allows.
  • Two-way communication with upper administration and end users is essential.

Required Education and Experience
  • Bachelor’s Degree required, or equivalent in education, training or experience.
  • Five years work-related experience in a high energy procurement environment including experience with an educational financial system, print management/copier administration and ability to manage people’s expectations regarding administration of work, Purchase Orders, Contracts, and other related duties.
  • RFP/proposal writing experience and negotiating experience are required.
Preferred Education and Experience
  • Master’s Degree preferred.
