Reporting to the Associate Dean for Academic Affairs, the Maxwell School Event Manager is a new position that will be responsible for the management, coordination, planning, oversight, and implementation of programs and major events of 1) the Maxwell School 2) the Maxwell Dean’s Office 3) Maxwell joint events including, but not limited to, Arts and Sciences/Maxwell-coordinated annual events. He/ She will manage and provide support and direction for all Maxwell undergraduate and graduate Commencement and Convocation programs. He/ She will provide Maxwell departments and programs with direction on processes, policies, and protocols. The Maxwell School’s Events Manager will need to take initiative; be creative, highly organized, detail-oriented, able to multi-task, an excellent communicator; and have the capacity to build and maintain relationships within the Maxwell School and across the University. The manager will also need to have excellent writing skills and will work with Maxwell’s Communications team to develop advertising, press releases, and other communications related to events. Qualifications
  • Bachelor’s degree required.
  • Experience with event planning, event management.
  • Experience working in higher education is preferred.
  • Experience with communications.

  • Ability to work with, manage, and direct staff.
  • High level ability of time management and task management; strong ability to prioritize and manage multiple assignments and simultaneous events.
  • High level ability to maintain professional demeanor with internal and external constituents, interacting with colleagues in a respectful and courteous manner.
  • Experience in writing, editing, and proof-reading materials for print and online content is desired.
Responsibilities
  • Plan, manage, coordinate, monitor, and oversee 25+ Maxwell School wide and Maxwell Dean’s Office events with total audience attendance of up to 5000 (e.g., graduate Convocation, the annual Celebration of Undergraduate Scholarship, the annual Holiday party, events related to the Maxwell School’s 100th anniversary) and Arts and Sciences/Maxwell-coordinated annual events (e.g. undergraduate Convocation, Orientation, Family Weekend, Graduation, and undergraduate and graduate recruitment events. Responsibilities include attending planning meetings, scheduling, coordinating, problem-solving, directing event set-up, communications with event organizers, and managing clean-up. Provide event oversight and guidance to all 19 Maxwell departments and programs, Syracuse University-wide events, and Arts and Sciences/Maxwell-coordinated events. Recommend and create new events including identifying new speakers.
  • Provide event-related oversight and support to all 19 Maxwell Departments and Programs, including but not limited to, other members of the Dean’s Office staff (e.g., for alumni events, the Maxwell Advisory Board meetings, Diversity, Equity, and Inclusion-related events).
  • In coordination with Maxwell’s Communications team, develop event related communications, including but not limited to advertising, press releases, content for the website, and other communications related to events.
  • Propose, implement, and manage budgets for Dean’s Office events and programs to include guest honorariums, guest travel, vendor services, and venue costs. Review of all related contracts and agreements to ensure University protocols and guidelines are in place before securing services.
  • Manage, schedule, and develop the agendas for monthly Maxwell Directors of Undergraduate Studies, Directors of Graduate Studies, Department Chairs, and Center and Institute Directors.
