Position Summary

The Associate Administrator for Research Administration for the Department of Internal Medicine (DOIM) will be the key strategic leader for administrative oversight of research conducted in the 11 sub-specialty divisions within DOIM. The department records over $25M in award dollars annually, having approximately 200 clinical studies open for recruitment at any time plus a strong basic and translational research portfolio, making DOIM the largest research intense department within the School of Medicine (SOM).

Primary responsibilities will include providing research-related administrative direction and leadership to the DOIM’s multiple Divisions under the auspices of the Assistant Chair and Associate Director for Research in the DOIM. In collaboration with Department leadership, the Associate Administrator will provide strategic vision for the administrative oversight of the Department’s robust scholarship efforts ranging from clinical trials to basic and translational research all while ensuring compliance with Federal, State, University, and sponsor policies and regulations. Reporting to the DOIM Administrator, the Associate Administrator will establish processes, procedures, and implement best practices to maximize efficiency and fiscal results while directly leading the research team members within the DOIM 11 divisions and central team. The Associate Administrator will work closely with the SOM Office of Research Administration, including the Clinical Research Office, on initiatives focused to improve research administration and operations. This position serves as a key stake holder and member of a school-wide senior research administration advisory team led by the SOM Executive Director of Research Administration focused on continuously evaluating and improving the administrative infrastructure necessary to effectively support the steadily growing research portfolios across departments in the school.

Required Duties

Manage Research Administration Direct Support Services
• Direct the research administration support team(s) responsible for providing direct pre
and post award management support to DOIM divisions and investigators, ensuring
sponsored projects are managed in accordance with sponsor regulations and VCU
policy.
• Evaluate department research administration staffing needs and make staffing
assignments based on the complexity of sponsored portfolios and experience level of
staff. Conduct periodic reviews and adjust staffing assignments as needed based on
changes to department research portfolios.
• Develop routine division level research reporting for the Executive Director and
Department Chairs/administrators utilizing DOIM Research Administration services.
• Manage service agreement revenue recovery for research administration support
services; manage research administration support staff personnel budget, analyzing and
projecting revenue, realizing cost savings when possible. Recommend staffing additions
or changes as needs warrant.

Manage DOIM Research Administration Training Program and Pre/Post Award Standard
Operating Procedures

• Plan and maintain department wide research administration training
program for research administrators and investigators; Develop training
schedules, design and deliver training, identify other subject matter experts
to deliver training. Communicate training schedules.
• Develop evaluation tools for assessing quality of training offerings. Utilize
results for continuous program improvements.
• Manage Research Administration website content; Seek input from other
senior members of the SOM Office of Research Administration to help
identify content needs and develop/update content.
• Develop and maintain SOPs for all aspects of sponsored research ensuring compliance with all related regulations, and provide training for same. This includes and is not limited to administrative and financial management in DOIM, proposal development, and post award administration.
• Provides professional support to faculty, staff and students to ensure
applications meet regulatory and ethical standards Provide training to

Risk Management
• Adhere to risk management guidelines procedures

Other Duties
• Serve as member of senior management team, working closely with DOIM Department
Administrator and Executive Director of SOM in maintaining effective staffing models for direct
research administration support, maintaining consistency in management practices,
maintaining high levels of customer service, ensuring revenue recovery from all sources, and
identifying department‐wide research administration training needs.
• Manage department‐level research reporting for internal and external audiences, both routine
and non‐routine reporting or data requests: Department Chair quarterly reporting, AAMC,
LCME, VPHS office, MCVP (Compensation plan data), etc.
• Represent Department on university level committees/work groups when requested by
Executive Director.
• Monitor Research Dashboard usage within DOIM, ensuring minimum use requirements are
met, notifying division chairs, Executive Director, and Department Chair if DOIM requirements
are not met.
• Participate in development of strategic initiatives and performance metrics to monitor DOIM
RA’s ability to meet stated goals and maintain a high level of customer service.
• Serve as department‐level approval authority of sponsored program proposals during periods
of high volume.
• Other duties as business needs warrant


Required Education and Experience

• Bachelor’s degree in accounting, business, finance, or a science‐related field or equivalent education
and experience.
• Minimum 7 years of experience in research administration with significant experience in all facets of pre and post award: proposal preparation and submission, administrative and financial management,
effort reporting, close‐out, record keeping, etc.
• Prior supervisory experience required.
• Ability to exercise independent judgement in decision making, program management, and
interpretation of complex rules and regulations.
• Must possess excellent written and oral communication skills, including ability to speak effectively in public settings.
• Dedication to leading staff that provide high levels of customer service is required.
• Must have strong analytical, problem solving, and time management skills.
• Must be able to manage multiple projects and make staff assignments to effectively handle changes in work assignments, competing priorities, and deadlines.
• Proficiency with computers and computer software and the ability to learn new systems quickly is required.
• Demonstrated experience working in and fostering a diverse faculty, staff, and student environment or commitment to do so as a staff member at VCU.

Preferred Education and Experience:

Master’s degree in accounting, business, finance or a science‐related field or equivalent education
and experience (8+ years of experience in Research Administration).
• Prior experience developing and delivering training in both large and small settings preferred.
• Experience developing and maintaining guidance documents and resources materials..
• Prior experience conducting workload assessments and managing priorities that span multiple
departments or business units preferred.
• Experience working for an academic medical center will be preferred, including a thorough
understanding of state and university purchasing, travel, and HR policies and procedures as well as an understanding of IRB and regulatory agency requirements as they pertain to sponsored research management.
