The Divisions of Outside Interests (OI) and Interaction with Industry (IIP) occupy a unique position in the School of Medicine (SOM). The divisions develop and manage implementation of policy in the areas of conflict of interest, conflict of commitment, and interaction with industry. Members of the divisions work closely with faculty members, institutional leaders and staff of the University and Johns Hopkins Medicine, the JHU Office of General Counsel and the JHHS Legal Department, and individuals outside the institution. The Sr. Administrative Coordinator provides complex administrative support to the Director of Outside Interests, the Director of Interaction with Industry and the divisions generally.

Specific Duties & Responsibilities:

Understand the priorities and goals of the divisions to accurately maintain calendars, coordinate meetings, schedule appointments, resolve scheduling conflicts, and prioritize requests. Ensure files are well organized, maintained, and up to date. Resolve problems, answer questions of other staff and faculty, represent the divisions and act as a source of information for all inquiries related to their work. Assist with special projects, which may include conducting web-based research, refining and editing material for presentations, etc. Responsible for tracking and ensuring timely processing of travel, expense reimbursement, payroll, purchasing, creation and monitoring of budget and other transactions through JHU systems including but not limited to SAP.

Assist the Director of Interaction with Industry in the compilation, review and analysis of the Open Payments data in the JHM Sunshine database. Work with IT on updates and maintenance of the database.

Work with the Director of Interaction with Industry and IT to develop a new precedent database for Interaction with Industry.

Maintain inventory of office equipment and work with IT to order upgrades of equipment as required. Work with IT and the LAN administrator to resolve issues as needed.

Perform all duties in a fast-paced and demanding environment with limited supervision. Maintain the highest degree of confidentiality, discretion and tact. Be able to carry out duties effectively while working remotely. Other duties as assigned.

Minimum Qualifications (Mandatory):
High School Diploma/GED is required.

Five (5) years of progressively responsible administrative experience are required.

Additional education may substitute for required experience, to the extent permitted by the JHU equivalency formula.

* JHU Equivalency Formula: 30 undergraduate degree credits (semester hours) or 18 graduate degree credits may substitute for one year of experience. For jobs where equivalency is permitted, up to two years of non-related college course work may be applied towards the total minimum education/experience required for the respective job. *

Preferred Qualifications:

Bachelor’s degree is strongly preferred.

Special Knowledge, Skills, and Abilities:

Very strong written and oral communication skills and ability to interact professionally with faculty and staff and individuals outside the institution by email, phone, and in person. Demonstrated business writing, proofreading, and editing required.

  • Demonstrated analytical skills.
  • Proficiency in use of software applications (including but not limited to Microsoft Word, Outlook, PowerPoint, Excel, Access, Adobe Acrobat and Tableau) to accomplish assigned tasks. Demonstrated proficiency with office hardware (personal computer, USB drives and printers). Demonstrated proficiency in the use of Microsoft Teams, Zoom and similar platforms.

Any vaccinations required for these diseases will be given at no cost in our Occupational Health office.
