College of Lake County is seeking a Full time Office Associate to support our Nursing department. This position provides standard and advanced secretarial and clerical duties to members of the Nursing department, requiring experience, skill, the use of discretion, maintain confidentiality with student matters, and knowledge of College and departmental policies and procedures.

Required Qualifications:
1. High school diploma or equivalent.
2. 2 years of office support or related experience.

Specialized Training/Skills
Proficiency in MS Word, Excel, PowerPoint. Ability to utilize computer technology to access data, maintain records, generate reports and communicate with others. Ability to work in a highly collaborative environment. Proven ability to work effectively with individuals and teams from diverse backgrounds and professional responsibilities. Excellent oral and written communication skills. Ability to multi-task and work under pressure. Ability to adapt to changing priorities and schedules. Ability to work with confidential information.

Summary of Essential Functions:
1. Student/Customer Services 50% -Answers, screens, and relays telephone calls and questions from students, faculty, staff, and the public, resolving routine inquiries or referring questions and concerns as appropriate. -Fosters positive relationship and communication with clinical sites, advisory board members, and BSN partners.
-Assists ADSN club with communications and activity promotions. -Serves as a liaison with clinical sites, submitting clinical requests for student placement. Provides clinical students information and checklists of requirements to the clinical sites.
2. Department Operations and Processes 25% -Prepares and/or composes various correspondence, memos, agenda items, reports, meeting notes, etc. -Assists faculty by word processing and clerically preparing instructional teaching materials, exams, and course materials. -Prepares and mails course completion information to State agencies. -Carries out recurring office procedures. -Sorts and distributes mail for the department. -Maintains inventory of supplies and forms, reordering as necessary. -Submits room reservations as requested or anticipated.
3. Data Entry/Reporting 20% -Collects, compiles, and prepares data and information for various reports including but not limited to annual accreditation and State reports. -Organizes and updates/maintains office files, manuals, and records.
-Serves as a backup for the Office Associate for Health Programs, entering student data into the IDPH Healthcare Worker Registry and entering permission for student to register for the Nurse Assisting course. -Downloads and distributes Academic Advisement Reports to faculty for student advising.
4. Other 5% -Performs other related duties as assigned.

Must be able to continuously sit and interact with public (internal/external). Able to occasionally walk, stand, bend, squat, climb, kneel, lift 0-50 lbs., lift 50+ lbs., carry 0-50 lbs., carry 50+ lbs., and push 0-300 lbs.
