Position Summary
The Administrative Specialist provides administrative support for the programs and services provided by the Office of International Programs – Study Abroad and the International Washburn Transformational Experience, and the Scholarly and Creative Washburn Transformative Experience ( WTE ). This position will have the opportunity to work 50% of the time remotely if desired.
Essential Job Functions of Position
Responsible for providing administrative support which includes varied and related processes such as maintaining databases, websites, and social media. Extracting desired information from databases and websites, and monitoring, facilitating and enforcing compliance with established criteria, guidelines, and standards.
Provides front desk reception and customer service by providing information to students, staff, faculty, and the public about programs, policies, services, and/or processes provided by the office.
Aids with planning, coordinating, and facilitating special events within the office or with collaborating departments and areas on and off-campus.
Maintains files and plans purging, scanning and storage schedules.
Coordinates, updates, and maintains accurate records of all financial transactions (purchase orders, payment vouchers, fund transfers, reimbursement requests, and departmental credit card purchases) to facilitate budget tracking and management.
Contributes to a work environment that encourages knowledge of, respect for, and development of skills to engage with those of other cultures or backgrounds.
Attends professional development courses and software training.
Prepares and distributes correspondence, newsletters, and other documents as requested.
Maintains and manages the office’s logistical needs and maintenance schedule.
Assists to ensure the overall success of the office and programs by performing additional job-related duties as assigned or as appropriate.

Education and Experience
High school diploma, GED, or equivalent. One year of full-time equivalent work experience or relevant education or a combination of relevant education and experience equal to one year of full-time work experience.
Knowledge, Skills & Abilities
Proven effective communication, organization, and computer skills. Proven ability to work effectively and collaboratively in a team environment, problem-solve and maintain confidentiality.
Preferred: Ability to maintain accurate and detailed financial records.

Advertised Pay
12.98 per hour with potential for a higher entry rate commensurate with experience
Work Schedule
Regular Business Hours, Other - occasional evenings and weekends for events, maybe two times per semester
