UChicagoGRAD works with academic departments and divisions as well as campus-wide offices to develop and implement outreach, recruitment, and yield efforts; graduate and postdoc-focused programs, workshops, and events; training and support tailored to UChicago graduate students and postdocs; and administrative practices and policies in support of graduate education.

 

The Associate Director will have primary responsibility for several areas related to the recruitment and admissions process and onboarding of new/incoming graduate students at the University, as well as supporting office-wide resources for current students. In addition to participating in the day-to-day activities of the Graduate Admissions office, supporting prospective students and applicants through various channels, the Associate Director will serve as technical and data lead for the Admissions team. Core responsibilities include serving as the primary functional user and coordinator of one central and 9 peripheral Slate databases; data reporting across systems; management of the UChicagoGRAD website and communications tools; maintaining the University’s accounts with external data and service providers; and support for other office needs.

Responsibilities

  • In close collaboration with our Slate technical support staff, serves as the primary manager of one nine unit-level Slate database, which functions as a hub-and-spoke system. Provides leadership, training, and direct implementation across users of the ten systems on data standardization, new or improved usage of tools such as Deliver and Campaigns, Queries and Reports, and development of new applications and other uses for the system. Ensures that usage of the systems and the data complies with all best practices as well as internal and external data and privacy policies and laws. Utilizes existing reports and queries, as well as create new ones, to produce frequent aggregated datasets for Institutional Analysis (IA), as well as to provide reporting as needed for a wide range of campus partners in consultation with the Director, IA, academic units, and others. Using Tableau and other tools, creates usable and informative charts, graphs, and datasets to inform decision making across the University and provide information on our admissions funnel and outcomes of a wide variety of initiatives.
  • Maintains and updates the Admissions as well as other sections of the UChicagoGRAD website using WordPress. Serves as the primary liaison to outside vendors contracted to provide additional technical services and support. In partnership with the Director and the University’s Center for Digital Accessibility, remediates all accessibility issues identified on the website, and ensures compliance moving forward.
  • Manages University accounts with external vendors, particularly related to admissions processes and data, including ETS, IELTS, and other score reporting agencies, and monitors the intersystem feeds to ensure that data flows through the distributed systems successfully. Oversees the processing of data file uploads, including training users in formatting, including managing the flow of applicant information to other admissions offices not connected to the centrally managed databases. Accurately foresees and corrects for issues that arise with intersystem feeds or communications when programs are added, change names, or are discontinued.
  • Recruits to the University’s 100+ master's, professional, and doctoral programs, by understanding and communicating the nature and requirements of each program. Plans and executes outreach and recruitment efforts, including public presentations on and off campus, recruitment travel, and multi-day recruitment and yield programs; and responds to student inquiries via phone, email, and in-person.
  • Manages the day-to-day operations of UChicago’s Graduate Exchange programs for doctoral students.
  • In collaboration with other staff members, implements UChicagoGRAD communications to prospective and current students, including ensuring that all templates and content adhere to the University’s communications and style guides; maintaining a calendar of communications, including scheduling and occasionally gathering content for weekly and ad hoc messages to varying groups of constituents; and providing guidance to other teams within the office on coordination of timing, style and content standards, and best practices.
  • As part of a team, plans and executes University-wide admitted and incoming graduate student yield and orientation activities and events. Collaborates with partners across campus to create and curate content via Slate; on Canvas, our online course delivery tool, using common tools such as
  • Panopto, Zoom, or PowerPoint; and ensure that all relevant information is included in the Canvas course or related events. Tracks and analyzes utilization, interaction, and related data for all Admissions team activities, such as email click/open rates, webinar or event registration and attendance numbers, website analytics and SEO, etc.
  • Under the direction of senior leadership, develops programs and relationships to advance program initiatives.
  • Uses knowledge of the divisional vision and values to assess, evaluate, and recommends opportunities for collaboration with partners.
  • Supports broader student initiatives.
  • Coordinates program initiatives, ensuring unity of focus and purpose.
  • Performs other related work as needed.


Minimum Qualifications
 

Education:

Minimum requirements include a college or university degree in related field.

Work Experience:

Minimum requirements include knowledge and skills developed through 5-7 years of work experience in a related job discipline.

 

Preferred Qualifications

 Education:

  • Bachelor’s degree.
  • Advanced degree (e.g. Master’s degree) in a relevant area.
 Experience:

  • Five to seven years of relevant work experience with progressive levels of responsibility.
  • Background in research-intensive university setting.
 Certifications:

  • Valid US driver’s license; operate a motor vehicle.
 Technical Skills or Knowledge:

  • Experience with an admissions CRM; knowledge of Technolutions Slate.
  • Knowledge of Tableau; high degree of skill in basic data tools, such as Excel.
  • Familiarity with standard tools and software, such as MS Office suite and Google suite.
  • Knowledge of WordPress.
  • Familiarity with the concepts of digital accessibility.
  • Knowledge of data privacy regulations.
  • Significant experience with a CRM beyond the role of end-user.
  • Prior experience with WordPress or other website editing systems. Some knowledge of SQL, CSS, HTML, and other technical skills relevant to CRM or website management.
  • Familiarity with graduate education in a research-intensive university setting.
  • Familiarity with selective admissions, preferably at the graduate level. Significant expertise in at least two of the core areas - Slate, or another CRM; direct recruitment and applicant support; website management; data consolidation and analysis; incoming student programming and support.
