SUMMARY:

Reporting to the Vice President of Enrollment Management, the Director of Operations and Special Projects supports the Vice President through a combination of short- and long-term projects aimed at optimizing cross-functional efficiencies, enhancing internal communications, and meeting enrollment and strategic partnership objectives. This position demands a broad team-oriented skill-set and a deep understanding of the mission and strategic goals of the Enrollment Management Division to engage effectively with administrators and staff across the Division and campus.

 

PRINCIPAL DUTIES AND RESPONSIBILITIES

 

Strategic Planning:

  • Develop and communicate budget-related processes to ensure fiscal responsibility and adherence to university policy.

  • Establish priorities, identify important issues and develop policy recommendations and actions.

  • Implement strategic goals, prioritize work, and monitor initiatives. Identify and provide analysis and develop solutions to problems.

  • Implement and manage internal and inter-departmental work groups to effectively accomplish projects and tasks across the university in alignment with Enrollment Management goals.

  • Assess the effectiveness of programs, organizational structure and operational processes and proactively identify areas of improvement.

 

Operations:

  • Oversee short- and long-term allocation of financial resources and budget management for all teams within Enrollment Management.

  • Manage a portfolio of high-priority, internal and external projects aimed at meeting Enrollment Management objectives and the University’s strategic plan.

  • Participate in meetings on behalf of the Vice President of Enrollment Management, as needed.

  • Provide analytical and specialized administrative support; assist with complex details and advanced administrative duties.

  • Lead changes to improve efficiency and effectiveness throughout Division.

  • Manage work-from-home Divisional tracking to ensure policy adherence, office staffing levels and proactively identify conflicts.

  • Work closely with the Office of Student Persistence and provide research and assistance to support retention strategies and goals.

  • Perform other duties as assigned.

  • Management retains the right to add or change job duties at any time.

 

QUALIFICATIONS:

REQUIRED

  • Master’s degree from an accredited college or university.

  • Minimum of five years of experience in higher education with a preference for Enrollment Management related offices.

  • Experience in managing multiple projects simultaneously with accuracy and meeting deadlines.

  • Knowledge of Student Information Systems such as Colleague or Banner.

  • Excellent organization, communication (written and verbal), interpersonal and customer service skills, with the ability to work effectively with a wide range of constituencies in a diverse community.

  • Ability to work independently, address complex and sensitive matters, exercise excellent professional judgment, and use discretion and tact, while maintaining confidentiality.

  • Superior analytical skills, coupled with the ability to research, identify and compile important information/data in a concise manner.

  • A Collaborative approach to problem-solving, combined with a demonstrated sense of individual accountability.

 

PREFERRED:

  • Demonstrated experience in diverse administrative functions and project management.

  • Prior experience with budget management.

  • Prior experience using data analytic tools such as Cognos and SPSS.

  • Experience working in a highly diverse, fast-paced environment.

  • Ability to quickly adapt to new and changing software systems.

  • Familiarity with university policies, procedures and systems.

  • Fluent in Spanish.
