The Program Coordinator provides ongoing administrative support to all programs of the Office of International Education, serves as a first line of contact for current and prospective participants in international education programs, and manages the day-to-day operations of the Office of International Education. The coordinator monitors all programs to ensure that they conform to established policies for both safety and academic quality. The coordinator must possess excellent organizational, interpersonal, and communication skills as well as the ability to maintain strict confidentiality; and must bring a positive and professional demeanor to interactions with all the Office's constituencies. This position will work on campus daily in Columbia, MD.

WORK PERFORMED

  • Coordinates and delivers specialized advising for travel study abroad programs, Collaborative Online International Learning (COIL) courses, the Global Distinction program, and other international endeavors.
  • Assists students with the travel study abroad program cycle including but not limited to responding to student inquiries, financial planning and scholarships, and program applications.
  • Facilitates and tracks the awarding of scholarship funds.
  • Facilitates pre-departure orientation and re-entry sessions.
  • Coordinates annual campus outreach, including Study Abroad Fair, tabling, class visits, and other activities to recruit students and raise awareness for all international programs. Manages student and travel program data, creates and runs queries, manages system updates, and trains staff in the study abroad management and travel alert system (Terra Dotta Systems). Supports Director with travel study abroad risk and crisis management.
  • Provides logistical support for travel study abroad by collaborating with faculty directors, study abroad program providers and travel agents to research travel program details, make reservations, obtain bids, and track contracts. assists program leaders with troubleshooting and resolving problems, both prior to and during programs.
  • Conducts specialized outreach and programming to recruit and support students from key cohorts to assure equity in and access to international programs.
  • Coordinates campus events such as International Education Week and international delegation visits; coordinates schedules; liaises with presenters and participants; makes necessary arrangements for facilities and catering.
  • With guidance from the Director of International Education, coordinates ongoing data-collection activities for all student and faculty programs.
  • Executes established procedures for monitoring the integrity of this data and provides reports upon request, collaborating as needed with the Office of Learning Outcomes Assessment.
  • Coordinates ongoing efforts to publicize and market all Office programs to internal and external constituencies through print, digital, and face-to-face media.
  • Provides day-to-day oversight of financial transactions and budgets for individual programs and for the Office of International Education cost center: initiates and monitors purchase orders; coordinates and tracks payments by check, wire, and P-card; monitors monthly cost center balances and liaises as necessary with program directors to ensure accuracy of transaction records and account balances; provides budgetary reports as needed or requested.
  • Ensures the smooth day-to-day operation of administrative systems and procedure s; serves as a liaison between International Education and key student offices to resolve issues, assist students, and improve efficiency; and ensures the overall professionalism of the office environment for the purposes of receiving constituencies and providing information and advice to students.
  • Supervises part-time non-budgeted and work study support staff: monitors assignments and schedules and provides training and direction.
  • Performs other duties in support of programs or office operations, as assigned by the Director of International Education.
  • Associates degree required with two years of administrative experience. Bachelor's degree preferred.
  • Prior exposure to international education at the college level highly desirable.
  • English fluency required.
  • Proficiency in languages other than English and/or prior international travel experience highly desirable.
  • Experience working within a diverse and inclusive community.

OTHER REQUIREMENTS

  • Ability to work professionally and collaboratively with all internal and external constituencies, including HCC students, faculty, and administrators as well as representatives of external institutions and organizations.
  • Ability to adapt positively to changing work assignments and new programmatic initiatives.
  • High levels of proficiency in written and oral communication.
  • Prior experience with learning new software to support office workflows.
  • High proficiency with word processing, spreadsheet, database and presentation software.
  • Ability to use initiative to define and resolve problems and to exercise sound judgment in crisis situations.
  • Ability to maintain strict confidentiality.
  • Regular attendance is a requirement of this job.
  • Performs all duties while considering the impact of any actions on the college's sustainability initiatives in the areas of environmental stewardship, social responsibility, and economic prosperity.

Hours Per Week: 37.5
Work Schedule: M-F, 8:30 am - 5pm; occasional evenings or weekends.
Compensation: $47,732 plus excellent medical & dental, tuition reimbursement and paid leave
FLSA Status: Exempt

As a participating member of the Maryland Retirement and Pension System, HCC offers two retirement options: The Pension, which requires a 7% employee contribution and The ORP, a 403(b) with a 7.25% employer contribution only. Employees in positions that do not require a bachelor's degree must participate in The Pension. Employees that possess a bachelor's degree and hold professional positions that require a bachelor's degree may choose to participate in either The Pension or The ORP.
