The Office of Interdisciplinary Initiatives within the Office of the Provost is seeking a Senior Administrative Coordinator who provides high-level administrative support to the Vice Provost for Interdisciplinary Initiatives. The Vice Provost for Interdisciplinary Initiatives works closely with members of the Office of the Provost, deans, and university leadership to develop and implement academic initiatives and priorities for Johns Hopkins University. These initiatives include the development and launch of a university wide academic and operational strategy tied to 555 Pennsylvania Avenue, the university’s new building in Washington, DC; strengthening the university’s policy footprint in the nation’s capital; and coordinating and supporting emerging initiatives that span the university’s schools and centers.

The Senior Administrative Coordinator must demonstrate careful judgment, a high level of discretion, and the ability to work independently. The successful candidate will be able to collaborate with other members of the Office of the Provost’s administrative team, communicate effectively, prioritize multiple tasks, take a proactive approach to work assignments, and take initiative in anticipation of future needs of the Vice Provost. Successful completion of work assignments involves considerable judgment, tact, creativity, and initiative, as well as an appreciation for tight deadlines, a positive attitude, and a high level of confidentiality. Having prior work experience in institutions of higher education is preferred.

Specific Duties & Responsibilities:

  • Manage the Vice Provost’s calendar by effectively prioritizing requests for meetings and resolving scheduling conflicts
  • Manage conflict-free calendar of numerous high-level meetings and appointments and disseminate corresponding meeting materials
  • Serve as a liaison between the Vice Provost and university officials
  • Serve as primary point of contact for the Interdisciplinary Initiatives team within the Office of the Provost
  • Prepare first drafts of emails, letters, and other correspondence
  • Book travel and develop itineraries for the Vice Provost (transportation, lodging, etc.) for in-state and out-of-state travel and process related reimbursements
  • Provide project management support for the Vice Provost and Senior Program Officer including tracking academic initiatives and priorities
  • Track and manage special projects on behalf of the Vice Provost, including HR and budget topics
  • Plan, write, and edit memoranda, summaries, and other communications, including PowerPoint slides
  • Review and create web content for Interdisciplinary Initiatives team
  • Maintain file management system
  • Complete additional administrative duties such as maintaining contact information, compiling meeting materials, and reserving meeting rooms and/or catering for special events
  • Process independent contractor paperwork and other expenses in SAP system
  • Serve as administrative liaison for standing and ad hoc committees
  • Perform other duties as required

Minimum Qualifications (Mandatory):

  • High School Diploma or GED
  • Five (5) years of progressively responsible related experience
  • Excellent interpersonal, oral, and written communication skills
  • Must be able to maintain confidential information
  • Ability to work in a fast-paced, collaborative environment and respond quickly, creatively, and flexibly
  • Additional education my substitute for some experience, to the extent permitted by the JHU equivalency formula*

* JHU Equivalency Formula: 30 undergraduate degree credits (semester hours) or 18 graduate degree credits may substitute for one year of experience. For jobs where equivalency is permitted, up to two years of non-related college course work may be applied towards the total minimum education/experience required for the respective job.

Preferred Qualifications:

  • Bachelor’s Degree
  • Experience in higher education or an executive level office
  • Excellent computer skills (Internet, and software applications: word processing, spreadsheets, presentations, etc.)
  • Excellent proofreading and editing skills
  • Excellent organizational skills with a focused attention to detail and an ability to manage multiple/competing priorities are required; adhering to deadlines
  • Proficient with basic mathematical calculations and basic accounting practices
  • Demonstrated ability to show good judgment in communicating issues that are sensitive and confidential
  • A positive attitude and willingness to collaborate with others
  • Expertise in organizing complex meetings
  • Technologically savvy – experience with basic web search, social media, cloud-based document sharing, and project management tools

Any vaccinations required for these diseases will be given at no cost in our Occupational Health office.
